WHO ARE WE? Insomniac produces some of the most innovative, immersive music festivals and events in the world. Enhanced by state-of-the-art lighting, pyrotechnics and sound design, large-scale art installations, theatrical performers and next generation special effects, our events captivate the senses and inspire a unique level of fan interaction. The quality of the Headliner experience is our top priority. Insomniac produces 10,000 concerts, club nights and festivals for seven million attendees annually across the globe. The Role The Visual Communications Production Coordinator ensures the successful execution of event productions by coordinating personnel, managing administrative processes, and supporting Project Managers throughout all phases of production.
Responsibilities Must input crew time accurately and submit prior to deadlines
Create and maintain any administrative documents requested by the project managers
Handle all travel arrangements for crew, vendors and project managers
Maintain regular communication with the management team
Advance equipment and site needs for shows
Attend production meetings as outlined by the head of department
Maintain a detailed and thorough filing system and database management
Maintain accurate vendor records and assist with creating purchase orders
Ensure that working conditions are safe and that employees are following company safety procedures
Safely operate various types of utility vehicles
Follow all safety, corporate and department policies
Coordinate all seasonal employees fairly, maintaining a professional and supportive work environment while following up on work assignments given to crew
Conduct daily rounds on all areas that fall under responsibility
Research and secure sources for new projects requested by project manager
Qualifications College degree
1+ years festival and/or concert tour experience is a plus
1+ year in administration and office setting
Proven ability to remain calm and professional in all situations
Thorough understanding of festival production
Valid and current driver license, U.S. Passport, and credit card for hotel incidentals
Working knowledge of web and mobile technologies
Proficient in MAC/PC
Well versed in Microsoft Office Suite and Google Docs
Ability to handle multiple projects simultaneously
Ability to make clear and concise decisions; sometimes with limited information
Must possess superior interpersonal communication and organizational skills
Position requires constant walking, climbing stairs and lifting up to 50 lbs
Excellent communication and presentation skills with technical, non-technical and executive audiences
Proven ability to project a professional image by working steadily, being a team player and being responsible for personal actions
Work Environment Must be able to tolerate loud noise levels & busy environments
May work in drastic temperature climates
Must be willing to frequently travel to work events during holidays, evening and weekend hours, as required, to meet deadlines
