Position: Operations Specialist

You will be responsible for assisting with the implementation of business plans for specific properties within the portfolio that are identified by Madison Senior Management team and to help support the operations team across the entire Madison platform. This will include being on-site, as needed, providing oversight of the financial performance of the property, training on-site employees, and implementing various strategies to add value to the property performance. This position will ultimately supervise and monitor community staff and oversee the entire community, while working towards achieving the financial and operational goals of the Madison community. The duration of each assignment will vary based on specific needs of the property and the time it takes to stabilize the property. This position may be responsible for assisting with multiple properties, in some capacity, at the same time. The role will be a blend of on-site job duties and leadership, together with operational support. While reporting to the COO, the position will work directly with all members of the Madison Management Team.
Key Responsibilities

Act as temporary on-site personnel for any short‑staffed property throughout the portfolio.
Assist with the stabilization of underperforming assets within the entire Madison portfolio of properties through on‑site and remote presence.
These responsibilities may require this person to lead on‑site teams in need of support.
Oversee marketing and familiarize with competitors to maximize marketing and advertising potential.
Create a sense of community with staff and residents to ensure customer satisfaction and resident retention.
Maintain vendor relationships and establish good business practices amongst the community and portfolio.
Oversee job duties of staff; set goals, monitor performance, motivate, and adhere to policies while creating a sense of teamwork and community.
Oversee community presentation, including office, model units, vacant units, community grounds, and amenities while maintaining a high level of customer service.
Maintain occupancy, set rental rates, manage vacancy, lower delinquency, and strive to meet budget expectations along with metric goals set on a weekly, monthly, and annual basis.
Analyze variances and control expenses to meet goals. Work with Service Director to maintain the community’s needs and comply with goals and standards set by Madison.
Conduct needs assessment and gap analyses for properties to identify training needs to support the overall goals of the business plan.
Ensure the effective execution of training programs that underpin key operational initiatives.
Follow policies relating to but not limited to fair housing, OSHA, and safety standards set by Madison Apartment Group.
Secondary Responsibilities

Help with the Madison support tickets submitted through the Support Desk.
Complete electronic audits of all sites on a quarterly basis to ensure compliance to operational systems and company policies.
Complete on‑site internal audits on an as‑needed basis.
Analyze audit data to determine deficiencies in controls, training, duplication of effort, theft, lack of compliance to regulations and/or policies or procedures.
Assist with the acquisition process and on‑boarding new properties. Assist with the disposition process.
Participate in the development of Training Programs.
Qualifications

Bachelor’s degree preferred, but not required.
Previous 7-10 years of property management experience.
Previous 3-5 years of supervisory experience required.
Experience working in the multifamily industry or in a closely related decentralized organization. Skills with Customer Service, Sales and Leadership Training preferred.
Outstanding facilitation, verbal and written communication and presentation skills. Ability to perform in a busy, changing, multi‑tasking work environment.
Strong organizational, interpersonal, problem‑solving and project management skills.
Experience with Microsoft Office Suite and multifamily industry software and programs preferred.
Ability to travel up to 60% across the portfolio (Monday through Friday).
Required to reside near a major airport due to travel.
Primary office location may be remote.
