HOA Assistant Community Manager
We are seeking a highly organized and proactive HOA Assistant Community Manager to oversee the daily operations of a residential community association portfolio. This role serves as the primary point of contact for homeowners, board members, and vendors, ensuring the community is well-maintained, financially sound, and compliant with governing documents and regulations.
Community Operations & Management
Oversee the day-to-day operations of the homeowners' association (HOA).
Conduct regular property inspections to ensure compliance with community standards and identify maintenance needs.
Enforce HOA rules, covenants, conditions, and restrictions (CC&Rs) in a fair and consistent manner.
Respond promptly to homeowner inquiries, concerns, and requests.
Board Relations & Meetings
Act as a liaison between the HOA Board of Directors and residents.
Prepare meeting agendas, board packets, and supporting documentation.
Attend and facilitate board meetings and annual membership meetings.
Implement board decisions and policies effectively.
Financial Oversight
Assist in the preparation and management of the annual budget.
Monitor expenses and ensure adherence to approved budgets.
Review financial statements and provide regular reports to the board.
Coordinate with accounting teams on assessments, collections, and financial planning.
Vendor & Contract Management
Solicit bids and manage contracts for maintenance, landscaping, security, and other services.
Supervise vendors to ensure quality work and contract compliance.
Schedule and oversee routine maintenance and special projects.
Compliance & Administration
Maintain accurate records, files, and association documentation.
Ensure compliance with local, state, and federal regulations.
Manage insurance policies, permits, and legal requirements as needed.
Oversee architectural review processes and approvals.
Communication & Resident Relations
Distribute community updates, newsletters, and notices.
Foster a positive community environment through clear and professional communication.
Handle conflict resolution and facilitate solutions among residents when necessary.
Work Environment & Schedule:
Primarily office-based with regular on-site community visits.
May require evening meetings or occasional weekend availability.

Qualifications
Bachelor's degree in Business Administration, Property Management, or related field (preferred).
25 years of experience in property management, HOA management, or a related role.

Ability to manage multiple priorities and work independently.
Proficiency in property management software and Microsoft Office Suite.
Preferred Certifications:
CMCA (Certified Manager of Community Associations).
AMS (Association Management Specialist).
