America's second oldest horse racing track, the Fair Grounds has been a New Orleans staple since 1852. We are a premiere entertainment venue presenting thoroughbred & exotic animal races, slots, video poker and simulcasting year-round. Located in New Orleans, Fair Grounds operates a slot-machine gaming facility and 13 off-track betting parlors throughout southeast Louisiana.
Under the direct supervision of the Systems and Support Service Manager, this position provides administrative and secretarial support for Technical and Maintenance Operations. The required duties are as follows: typing, filing and scheduling, coordination of meetings and conferences, obtaining supplies, coordinating special projects answering non-routine correspondence, and assembling highly confidential and sensitive information. In addition, this position will interact with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department. Process invoices and purchase requisitions. Establishes, develops, maintains and updates filing system for the Systems & Support Services Manager and the Maintenance and Technical Department. Retrieves information from files when needed. Assist with dispatching by organizing and prioritizing large volumes of information and calls. Order supplies. Assist with equipment orders. Order and maintain technician uniform inventory. Oversee all deliveries and shipments. Maintain VGD lock inventory. Schedule and oversee housekeeping in tech shop. Maintain currency counting equipment inventory. Maintain vehicle inventory. Maintain video sit controller and VSC parts inventory. Assist with capital project paperwork and solicitation of bids for jobs Redirects work orders to Technicians as needed; coordinates vendors to solve maintenance issues.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required. Ability to read, analyze and interpret common documentation. Ability to respond to common inquiries or complaints from team members, regulatory agencies or members of the staff. Ability to write and present information to management in a reasonable manner. Ability to perform normal mathematical computations in regard to the implementation of current duties. Ability to define problems collects data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of instructions and deal with several variables.
Must have a High school diploma and a minimum of three years of administrative experience. Work involves lifting, walking, talking, hearing, bending, stooping and climbing. Must be able to lift and carry up to 50 pounds. Equipment used regularly includes computer, telephone and copier. Office/Casino environment; Subject to outdoor temperature; Exposed to smoke, bright lights and noise at times. The work environment consists of very non-demanding surroundings with a low noise level. Will occasionally work in extreme heat or cold conditions.
