Responsibilities

Administrative Coordinator - Radiology
PRN
Administrative Duties
Responsible for disseminating information to administrative staff on the usage and retrieval of electronic medical records from various external clinical locations in accordance with HIPAA guidelines
Facilitate patient short-term disability requests and return to work certifications
Proofread and edit clinical, educational and administrative correspondence prior to dissemination
Coordinate the delivery and receipt of external patient records through the use of courier services
Process and manage physician dictation
Manage and maintain patient files
Coordinate insurance pre-authorization coverage
Assist department Director with overall program coordination and processes
Scheduling
Facilitate daily changes to physicians surgical and executive calendars
Schedule Transplant surgical procedures
Arrange diagnostic testing for preoperative and postoperative care
Oversee physician outpatient clinic schedules
Create and maintain monthly transplant call schedule
Physician Administrative Support
Responsible for gathering preoperative and postoperative test results to assist surgeon in a timely fashion with anticipated medical treatments
Assist physicians with reappointment applications and licensure renewals
Maintain an accurate database of continuing medical education credits
Assist physicians with retrieval of electronic radiological films
Manage surgery call schedule
Manage physician s patient schedules at multiple facilities
Billing/Coding Duties
Assist staff with CPT and ICD coding for diagnostic testing and surgery pre-authorizations
Correlate CPT and ICD coding for accurate Transplant surgical billing as well as process outpatient fee tickets for submission to the billing department
Maintain surgery and billing databases for accurate record keeping
Process billing for physicians
Process legal and insurance requests for patient records and/or payments
Assist with Human Resource Functions
Assist with recruitment and interviewing for open positions to include coordinating rating systems, conducting preliminary interviews and participating in panel interviews
Train and orient new employees in daily operations to include patient scheduling, insurance pre-authorization, office technology and various hospital databases
Other Required Duties
Facilitate hospital to hospital patient transfer on an urgent basis
Provide cross coverage for administrative assistant
Create interoffice document templates
Facilitate clinical response to patient requests
Manage medical clinic the office

Qualifications

Qualification
High School diploma or equivalent
Previous experience in a medical office or hospital required

Skills
Knowledge of medical office procedure including but not limited to customer service, documentation and HIPPA requirements
Basic knowledge of CPT and ICD coding
Ability to communicate effectively through verbal and written formats
Advanced knowledge of Microsoft Word and Excel
