Job Summary
The Music Operations Coordinator supports the Project Management team by assisting with operational workflows tied to artist releases and client-facing administration and support. Reporting to the Director, Project Management, this entry-level role focuses on administrative execution, tracking, and coordination across internal teams to ensure approved onboarding, payment, and release-related processes are completed accurately and on time.
Responsibilities
Client Onboarding & Offboarding Support
Assist with artist, vendor, and producer onboarding by collecting required documentation and payment information with manager oversight
Support setup in payment systems (e.g., Tipalti) under direction
Track onboarding and offboarding status using established checklists and tools
Flag missing or incomplete information to senior operations staff
Assists back catalog transfers and include RIAA certifications with oversight
Operational Request Support (LODs & Terminations)
Assist with processing Letters of Direction (LODs) and termination requests
Track approvals, signatures, and documentation completeness
Route requests to A&R Administration, Legal, or Accounting as required
Update internal trackers once changes are executed
Financial & Payment Support
Enter marketing expenses, advances, and payment requests as directed
Respond to basic internal payment inquiries
Assist in compiling information for statements, reporting, or audits
Cross-Functional Coordination
Support coordination between Project Management, A&R Administration, Accounting/Data, Legal, and Marketing
Maintain operational trackers, documentation, and internal records
Escalate issues, risks, or inconsistencies to senior team members
Other duties to be assigned as necessary
Qualifications
1- 2 years of experience in music, media, operations, or administrative roles
Relevant music industry Internship experience is applicable
Proficiency using MAC / PC, Google Workplace (Sheets, Docs, Slides)
Microsoft Office Word, Excel
Experience using JIRA or other project management software is a plus
Strong interpersonal and communication skills, with the ability to build rapport and communicate clearly and professionally in both written and verbal contexts.
Client Services experience is a plus
Strong organizational skills and attention to detail
Comfortable working across multiple teams and systems
Proficiency with spreadsheets and basic operational tools
Interest in music operations and artist release workflows
Pay Scale
$21.00-24.00 per hour
The final compensation within this range will be determined based on the candidate’s experience, skills, and overall fit for the role.
