About The Role
RBD is seeking a highly organized, discreet, and detail-oriented Studio Assistant to help keep our studio running efficiently. The ideal candidate will be a highly competent self-starter, as well as possess strong organizational capabilities and attention to detail. This role supports our bookkeeper with billing and financial tasks while keeping the studio running smoothly helping our design teams focus on delivering exceptional work for our clients. The ability to thrive in a fast-paced, design-centric environment, along with a desire to be part of an energetic, collaborative team is required.
Responsibilities
- Bookkeeping Support
- Assist the bookkeeper with accounts payable and receivable, invoicing, and reconciliations
- Support client billing, retainer tracking, and financial reporting as needed
- Maintain organized physical and digital filing for projects, contracts, and client records
- Assist with onboarding new vendors and maintaining trade account documentation
- Liaise between the design team and bookkeeper to ensure project-level financial information is current and accessible.
- Office Management
- Serve as the first point of contact for incoming calls and studio visitors
- Assist in selection of vendors, services, and supplies necessary for Studio operation
- Run errands on behalf of the team as needed, including pickups, deliveries, and other time-sensitive tasks
- Support design teams in preparation of meeting rooms, client scheduling, and travel arrangements
- Managing studio vehicles, including coordination of keys, fueling, and servicing
- Help with team & studio events when needed
- Sort and distribute incoming mail & packages, manage outgoing correspondence
Qualifications & Requirements
2+ years of experience in office administration, billing support, or a similar coordinator role
Familiarity with bookkeeping concepts and comfort working alongside a bookkeeper; hands-on bookkeeping experience is a plus but not required
Proficiency with Google Workplace suite & tools a plus
Other program expertise is a plus, but not required (Asana, Harvest, etc)
Discretion in handling sensitive client and financial information
Valid drivers license and clean driving record
Minimum of 4 days in San Francisco studio per week
