About the Role
The Studio Accounting Assistant role is crucial in assisting the CA Studio Accountant in managing and overseeing sub-consultants and project administration.

The North American business has studio locations in New York, San Francisco, and Los Angeles. The Californian studios are supported by a Studio Accountant based in San Francisco. Both San Francisco and Los Angeles studios are involved in several projects that utilize subconsultants.

Key Responsibilities

Collate, agree, and code supplier/sub consultant invoices into BST (7C’s ERP system)

Track sub consultant budgets per project, including identifying any budget inconsistency against approved budgets, and discuss with the Project Leader for change order requests

Where invoices are outstanding, post accruals for project subconsultants as required

Ad hoc reporting and reconciliation exercises for project managers/ management

Track billable charges (subconsultant invoices and staff expenses) by project

Month‑End Woods Bagot Invoicing

Gather all invoices/receipts as backup for Woods Bagot’s invoice to the client

Support the Studio Accountant in invoice creation

Track vendor invoices that are payable. (Either subconsultant invoices that the client paid, or direct consultants that managers approved to pay)

Track any urgent/out‑of‑process payments that need to be made

Assisting with the collation of payment files to pay subconsultants

Qualifications

5–10 years’ experience in a similar role.

CA/CPA qualified or equivalent is a plus.

Strong Excel skills are a must.

Strong communication (written and verbal) and stakeholder engagement skills.

Positive, proactive attitude with a focus on continuous improvement.
