Job Description Summary
Role Overview: Supports the Community Manager in overseeing financial and operational facets by completing accounting and bookkeeping tasks, preparing monthly close‑outs, processing invoices, collecting rent and fees, bank deposits, account reconciliations, and using property management software to record and report on community finances.

Complete daily financial transactions: collect and post rent, fees, and other payments; prepare daily bank deposits; reconcile bank accounts; prepare financial reports; process invoices and payables.

Operate property management software (Yardi/OneSite), entering required fields, updating, and backing up to ensure system integrity.

Review resident files and accounting records to identify unpaid/late fees; communicate with residents; implement delinquency collection procedures; enforce lease terms to maximise revenue.

Review and submit vendor invoices, reconcile work performed, obtain community manager approval, code charges to Chart of Accounts, and manage communication among vendor, accounting, and owner.

Follow company evictions procedures, providing notice, evicting residents, and representing the community in court hearings and eviction proceedings.

Process resident move‑outs by reviewing lease terms, notice requirements, applying appropriate deposit and lease cancellation fees, and processing dispositions per legal requirements.

Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and resolving service issues.

Act as on‑site supervisor absent the community manager by organising and delegating daily work, coordinating maintenance and make‑ready tasks with the maintenance supervisor, and ensuring operations comply with company policies.

Assist in managing the client/owner relationship by meeting owners, conducting community tours, providing updates, and responding to owner requests.

Assist or support leasing and marketing: greet prospective residents, gather information via Guest Card, show ready apartments and models, close and obtain lease deposit, and assist with application and credit verification.

For California: review completed move‑in files before submission to community manager for approval.

Basic Knowledge & Qualifications

Bachelor’s degree in Business Management, Communications, or related field from an accredited college or university.

1‑3 years minimum relevant experience in residence life and/or property management demonstrating community management, sales, marketing, and customer service background necessary to assist in day‑to‑day operations, resolve customer complaints, complete financial records, documents, reports, increase sales revenues, and coordinate team work.

Understanding of lease terms and lease enforcement, including collections.

Excellent written and verbal communication skills.

Detail‑oriented and self‑motivated with ability to work independently and collaboratively.

Specialized Skills

Have all licenses and/or certifications required by State and Local jurisdictions.

Valid driver’s license to operate a golf cart on property.

Proficiency in Internet, word processing, spreadsheet, and database management programs for required reports and documents.

Strong proficiency in using property management software (Yardi, OneSite, Entrata, etc.).

Travel / Physical Demands

Office environment work; may have frequent exposure to outside elements (temperature, weather, odors, landscape) that may be unpleasant or hazardous.

MUST physically access all exterior and interior parts of property and amenities.

MUST push, pull, lift, carry or manoeuvre weights up to 20 lbs independently and up to 50 lbs with assistance.

Routine local travel may be required for bank deposits, training classes, or other necessities.

Rare or occasional travel may be required to attend business meetings, training programmes, or other situations.

Hourly Pay Range: $28.00 − $30.00/hr (Los Angeles, CA)

Additional Compensation

Corporate Positions: Eligible to participate in a quarterly or annual bonus programme based on individual and company performance.

On‑site Property Positions: Eligible to participate in weekly, monthly, and/or quarterly bonus programmes.
