Executive Assistant
Are you an experienced and proactive Executive Assistant with a flair for top-level administrative duties? If so, we have an exciting opportunity for you to join our team as a professional Executive Assistant! In this role, you will be an asset to the team, providing support to our Executive Vice President (EVP) of Government Programs and the team. Your attention to detail will help ensure seamless operations at the executive level, contributing to the overall success of our Government Program and Sales departments. What You'll Do:
Be responsible for managing the calendars of the EVP and other team members
Coordinate domestic and international travel arrangements
Answer/screen telephone calls and mail for leaders
Prepare expense authorization's, coordinate invoice tracking, and track expense reports
Maintain both electronic and physical filing systems
Prepare highly confidential board slides, charts, and graphs and insert into presentations
Coordinate meetings and teleconferences both online and in person
Write, proof, and edit documents and correspondence
Liaise among peers, managers, teams and other personnel as necessary to gather and communicate pertinent information and agendas
Design and implement new processes and procedures for efficiency
What You'll Need to Succeed:
5+ years of relevant experience as an executive administrative assistant, preferably in a technology company
Proficiency in MS Office (Word, Excel, Power Point, and Outlook)
Strong organizational skills, accurate attention to detail, sound decision-making abilities and great time management with the ability to set priorities
Motivated, self-starter; able to make decisions with little or no supervision
Broad based skills to determine what EVPs and team may need prior to them requesting
Overtime hours may be required when work load exceeds normal operating conditions or to help cover while peers are out
Can thrive in a dynamic environment and stay on top of multiple projects or assignments
Strong communication skills, with the ability to confidently present products, deliverables, analyses, and/or issues
Possess an analytical mindset, with the ability to understand a situation or problem and think critically to make decisions or come up with solutions
We'll also need you to:
Be able to travel up to 10%
Work Environment:
This position primarily works in an office setting and is largely sedentary with the majority of the position working with a computer. The role typically requires the use of basic office equipment such as a phone, video, computer, keyboard, mouse, and printer.
