Executive Assistant
The Executive Assistant provides high-level administrative and operational support to the Vice President for Student Success and Enrollment Management. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced higher education environment. The Executive Assistant serves as a key liaison between the Vice President's office and internal and external stakeholders, ensuring efficient communication and coordination of activities that support student success and enrollment initiatives.
Examples of Duties
Manage the Vice President's complex calendar, including scheduling meetings, events, and travel arrangements.
Prepare briefing materials, reports, presentations, and correspondence.
Coordinate and prioritize incoming requests, ensuring timely follow-up and resolution.
Serve as the primary point of contact for the Vice President's office.
Facilitate communication between the Vice President and university leadership, faculty, staff, students, and external partners.
Draft, edit, and proofread communications on behalf of the Vice President.
Coordinate meetings, including agendas, minutes, and follow-up actions.
Support planning and execution of strategic initiatives related to student success and enrollment management.
Maintain confidential files and records with a high level of accuracy and discretion.
Monitor budgets, process invoices, and track expenditures as needed.
Assist with data collection and reporting for enrollment and student success metrics.
Coordinate special projects, committees, and task forces led by the Vice President.
Assist in planning and executing events such as orientations, recruitment events, and student success programs.
Track project timelines and ensure deliverables are met.
Oversee daily operations of the Vice President's office.
Develop and implement administrative processes to improve efficiency.
Provide support and guidance to other administrative staff as needed.
Typical Qualifications
Bachelor's degree or equivalent combination of education and experience.
35 years of executive-level administrative support experience.
Excellent organizational, time management, and multitasking skills.
Strong written and verbal communication skills.
Demonstrated ability to handle confidential information with discretion.
Proficiency in Microsoft Office Suite and standard office technologies
Preferred
Experience in higher education or enrollment management.
Familiarity with student information systems and data reporting tools.
Experience supporting senior-level executives.
