Data Clerk/Administrative Assistant
This is a 12 month full-time position to begin July 6, 2026. Under the direct supervision of the principal or other administrator to provide clerical, secretarial and administrative assistance to school administrators, conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees. The job of Data Clerk is done for the purposes of ensuring the accuracy and availability of student data and reporting of information from the school level.
Essential Functions & Tasks (minimum):
State Reporting: Ensures the school is in compliance with state and federal guidelines regarding FTE, Student Record and other state reports to maximize funding.
Generates and uploads data for purposes of meeting state and federal reporting requirements.
Registers new students, making sure forms are completed, obtaining transcripts and other documentation as needed, and entering data into computer system regarding enrollment and student records (e.g., transportation, free and reduced lunch program, attendance, withdrawals).
Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees regarding activities, events or other work-related matters.
Assists in planning and scheduling school events and activities, and maintaining calendar of school and student's events for the purpose of coordinating and scheduling events such as orientation, open house, field trips, sporting events, assemblies, conferences, etc.
Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
Assist visitors to the office, including students, parents, substitutes teachers, and others.
Answers telephone calls and provide information and assistance to callers.
Distribute incoming mail appropriately; sends outgoing mail.
Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
KNOWLEDGE & SKILLS:
Education and/or Experience: Some college; 1-3 years of related experience and/or training is preferred Experience as a solid administrative assistance is preferred Above average knowledge of MS Excel, MS Word, and MS Outlook. Excellent oral and written communication skills Excellent verbal and writing skills, friendly and professional demeanor Ability to communicate with various levels of management Strong organizational skills and work ethic Ability to effectively prioritize and multi-task numerous responsibilities Ability to identify problems Good attention to detail Ability to effectively work in a fast-paced environment, individually and as part of a team Maintains confidentiality in all matters Ability to foster collaborative relationships through flexibility and teamwork Excellent customer service and phone skills Ability to exercise sound judgement, be flexible, work with interruptions, and shift priorities as needed
EXPERIENCE:
Skills, Knowledge and Abilities SKILLS are required to perform single, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: customer service; problem solving; applying pertinent policies, regulations and/or laws; preparing and maintaining accurate records; and operating standard office equipment including pertinent software applications. KNOWLEDGE is required to perform a variety of basic clerical functions; read a variety of manuals, write documents following prescribed formats, present information to others; and solve practical problems. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; clerical principles and practices; standard office machines; methods and practices of office operations; and basic computer applications (proficient in Microsoft Office Word and Excel). ABILITY is required to schedule activities and work with a wide diversity of individuals; gather and/or collate data, use basic job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Specific ability-based competencies required to satisfactorily perform the functions of the job include: establishing and maintaining constructive work relationships; adapting to changing work priorities; maintaining confidentiality; being attentive to detail; effective communication; working with frequent interruptions; and working flexible hours.
