Administrative Assistant 1
The Administrative Assistant 1 will provide administrative support to the Bureau of Perinatal, Reproductive, and Sexual Health (BPRASH), a Bureau that includes ten programmatic Units and approximately 70 staff. Specific duties include, but are not limited to:
Assist with maintaining Bureau calendars
Schedule in person and virtual meetings (using technology such as WebEx and Microsoft Teams) and provide meeting coordination and technical support as needed
Answer and refer telephone calls
Update electronic tracking systems and monitor status of approval packages
Review outgoing correspondence
Maintain electronic filing and storage for documents
Monitor Bureau shared mailbox and assist with response to public inquiries
Operate office equipment such as printers, scanners and copiers
Distribute incoming mail
Assist staff with making travel arrangements and securing travel approvals
Coordinate supply orders
Other duties as assigned
Full-time, permanent appointment. Transfer Candidates may be asked for their social security number to verify eligibility. Position may be filled at a trainee level (equated to Grades 8 or 10), or Grade 11, depending upon the qualifications of the candidate. This position is part of the NYS HELPS program.
