
Legal Administrative Assistant

The Phoenix Group Advisors is conducting a search for a Legal Administrative Assistant position within a mid-sized law firm. This role provides administrative support to attorneys and paralegals, ensuring efficient legal operations and client correspondence.
The Legal Administrative Assistant manages document preparation, filing, and retrieval, maintains attorney calendars, screens communication, and facilitates billing processes. The role supports case management, coordinates meetings, and upholds confidentiality standards across legal documentation and client interactions.
Prepare and proof legal correspondence, memoranda, and documents with high accuracy
Manage electronic filing and document retrieval in firms management system
Screen phone calls, handle client inquiries, and record messages appropriately
Schedule and track attorney appointments and deadlines using Outlook
Process and review legal billing, record billable time, and ensure accuracy
Maintain client and matter files, including opening, closing, and storage review
Coordinate conflict of interest checks and assist with file management
Support team coverage and backup for other attorneys as needed
3-5 years legal administrative experience
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Windows)
Experience with document management systems (e.g., iManage)
Familiarity with billing platforms (e.g., Elite)
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Ability to transcribe legal documents at 60 WPM
High School diploma or equivalent required
