Overview
Support the overall operation of the Executive Office & Human Resources Department in daily administrative functions. Assist the General Manager and Director of Human Resources with key responsibilities for both offices, including new hire administration, employee relations, training and communication with hotel departments and corporate offices.
Responsibilities
Support the employment process including applicant screening, eligibility determination, reference checks, and verification of paperwork.
Refer potential new hires to department managers for interviews.
Assist with outgoing correspondence, memorandums and maintain logs (new hire, termination, transfers, meetings, turnover reports) and prepare timely reports.
Assist with benefit administration (group health, vacation, sick, personal leave, jury duty pay, retirement plan) and ensure accurate completion and timely submission of all required forms.
Coordinate new hire pre‑employment steps, including drug testing and reference checks.
Respond to interviewed applicants via telephone or letter within required time frame.
Complete paperwork for new hires, terminations, payroll actions and employee status changes on a daily basis.
Assist with New Hire Orientation, benefits overview, enrollment, and claims processing.
Present the Highgate Handbook and all policies and procedures.
Notify managers of monthly reviews, prepare payroll action forms, and track completed reviews to ensure timely completion.
Maintain accurate employee records and assist with OSHA, Workers Compensation, and Unemployment claims responsibilities.
Provide reception services, greet associates and potential new hires, and direct them to the appropriate manager.
Help produce the employee newsletter and maintain associate files.
Assist with associate employee relations events, immigration compliance, and supply inventory management.
Keep employee bulletin boards current, post memos and event materials.
Distribute paychecks and collect signed pay‑stub returns.
Support the GM with scheduling, meeting agendas, and associate events.
Assist with social media management and web presence updates.
Track and report Medalia results and support hotel program administration.
Ensure timely communication to Highgate corporate offices and senior leadership and meet deliverable deadlines.
Coordinate Gold Passport Reception and VIP invite printing.
Respond to guest requests and general mailbox correspondence, forwarding to appropriate departments.
Coordinate corporate office requests and assist finance with reporting.
Assist departments as needed during guest influx.
Qualifications
Associates or Bachelor’s Degree in Human Resources or equivalent with 1–3 years of work experience.
At least one year of hotel or human resources related experience.
Ability to work long hours when required.
Physical ability to lift up to 20 pounds occasionally and up to 10 pounds frequently.
Warm and friendly demeanor at all times.
Excellent verbal and written communication skills at all levels.
Strong listening, problem‑solving and organizational skills.
Ability to multitask, prioritize, and meet deadlines.
Attendance and appearance in accordance with company standards.
Confidentiality and initiative in handling complex information.
Basic PC knowledge, typing speed of 35 wpm, bilingual fluency a plus.
Hospitality orientation, ability to work under pressure, time constraints, and deadlines.
Leadership skills to motivate and develop staff and achieve goals.
Ability to plan, organize, delegate, and complete multiple tasks simultaneously.
Perform other duties as requested by management.
