Job Description
The Administrative Specialist is responsible for reviewing and reconciling job files, ensuring they are ready for job closure. This vital role involves working with the team to ensure all necessary documents, and reports are included in files before being sent to the Program Coordinator for closure. This includes reviewing for compliance with all program reporting standards.
Job Responsibilities
Prepare required job closure reports and files for Program Coordinator, reconciling to ensure it matches with job actuals.
Review and verify client eligibility for weatherization services and maintain accurate records of client information and program participation.
Ensuring client files are prepared for final reporting, checking for required documents and communication records.
Reserve HEAR Rebates in Salesforce and review measures qualified for rebate in SAGE.
Act as a liaison with relevant team members to ensure accuracy and timeliness of data entry.
Managing subcontractor production in SAGE, ensuring POs are entered correctly.
Work closely with the weatherization team, including energy auditors, technicians, and administrative staff and provide support to team members as needed.
Maintain working knowledge of federal, state, and local regulations.
Stay informed about changes in weatherization policies and regulations.
Work closely with client intake and program coordinator to implement outreach strategies to promote the Weatherization Assistance Program in the communities we serve.
Assist with answering incoming calls, providing updates and coordinating schedule as needed.
Other duties as required.
Minimum Qualifications/Experience
Candidates must pass a pre‑employment drug screening. Candidates will be subject to a criminal background check and motor vehicle report. (See job‑specific qualifications below):
Ability to interact effectively with all team members in all departments, stakeholders, clients, and prepare reports or presentations.
Strong organizational skills with attention to detail.
Excellent communication and interpersonal skills.
Ability to work independently and collaboratively in a team environment.
Proficiency in Microsoft Office Suite and data management software.
Valid driver’s license and reliable transportation.
Preferred Skills (Licensing/Certification)
Bachelor’s degree in social work, public administration, human services, or related field preferred.
Knowledge of federal and state regulations related to weatherization assistance programs.
Experience working with energy efficiency programs, weatherization, or related fields.
Ability to plan, organize, and oversee multiple tasks simultaneously, ensuring deadlines, and goals are met efficiently.
