Position Information
Under general supervision, the Departmental Assistant performs varied clerical duties. The role requires knowledge of general office routine and procedures and supports student success and lifelong learning.
Duties
Performs a variety of duties and takes on responsibilities specific to the office, using the required procedures, functions, and software.
Maintains front‑office management and department organization, including filing, organizing, and updating correspondence and other records per the established file classification system.
Reads and routes incoming mail; attaches appropriate files and prepares outgoing mail; monitors the department’s email.
Composes, types, and sends emails, letters, and correspondence without supervision; records memoranda, records from copy or rough draft, following standard procedures.
Assists in compiling periodic reports or other departmental material under general instruction.
Answers the telephone, assists callers, or routes calls to the appropriate person or department; places outgoing calls without supervision.
Schedules appointments for the supervisor and staff.
Greets visitors, determines the nature of business, and refers them to the appropriate person or department.
Assists and interacts with students daily, serving as a liaison among students, parents, faculty, staff, and the department; provides technical assistance and refers them to on‑ and off‑campus resources.
Records minutes of staff meetings (if requested).
Makes copies of correspondence or other printed matter.
Assists with the department budget.
Assists student employees and department tutors as needed.
Schedules, administers, or proctors classroom and placement tests.
Maintains the department’s database.
Represents the department at campus events to connect students with department resources.
Performs related duties as assigned.
Education and Experience
High school diploma or GED with some specialized training (educational or vocational). Minimum of one (1) year of clerk‑typist or secretarial experience in a general office environment is required.
Qualifications
Ability to perform general office duties; communicate effectively with visitors, community members, staff, and students; customer‑service orientation; good computer skills (keyboarding, Word, Excel, basic bookkeeping).
Software proficiency will be tested upon hire and must be successfully completed within the probationary period if not previously completed.

Salary/Wage
$15.97 – $16.30 per hour
