Position Title: Tax Specialist (Non – LO – No Consumer Contact)

Job Status: Full Time/Hourly

Department: Property Tax and Insurance Tracking

Reports To: Property Tax and Insurance Tracking Team Lead

Travel Required: None

Work Schedule: Hybrid – 4 days in the office, 1 day remote

Pay: Hiring range $20.39–23.99 per hour plus additional bonus opportunity

Job Summary
The Tax Specialist is responsible for ensuring that tax invoices are processed accurately and timely. This role manages a large group of loans assigned by specific states, researches, obtains, and processes a variety of tax‑related correspondence, and follows up accordingly. The Tax Specialist plays a crucial role in ensuring that tax bills are paid in adherence to the entity’s required or requested form of payment along with proper documentation.

Responsibilities

Process property tax payments to tax authorities, ensuring timely and accurate payment of tax bills.

Ensure individual county requirements are met regarding attached forms or documents.

Maintain a sequence of loans and follow‑up in a timely manner.

Utilize tax authority websites to retrieve tax bills and audit bills, ensuring accurate tax projections.

Request tax bills from customers and tax authorities via mail, email, and phone.

Input updated information for tax suppliers and address changes.

Research accounts for new county requirements and tax exemptions, updating accordingly.

Assist in reviewing and processing penalty and interest write‑offs.

Participate in reviewing and resolving internal and compliance audit exceptions.

Monitor the Tax Tracking queue and assist with updates as needed.

Handle new loan setup and determine accurate tax projections in the Tax Tracking system, verifying amounts for correct escrow payment consideration.

Research property assessments on third‑party websites and update the system for appropriate handling.

Review returned checks for appropriate action.

Analyze tax suits and recommend payment to upper management.

Investigate tax levies to ensure funds are coming from the appropriate accounts.

Audit loans that are not registered with the county and communicate with customers on how to register their home.

Monitor all tax projections to ensure appropriate payment is made to the accurate tax authority.

Complete internal customer service requests in a timely and efficient manner.

Connect with customers, third parties, and vendors via phone and email to educate or request necessary information.

Process county‑required forms such as assessments, refunds, payoffs, registrations, reallocations of funds, and moving‑home forms.

Audits Government Servicing loans as assigned.

Other duties as assigned.

Qualifications

Education: High school diploma or equivalent required; college preferred.

Experience: Minimum 1 year related experience required; 1‑2 years preferred.

Basic computer skills and ability to type at least 25 words per minute.

Ability to communicate effectively via phone, email, and in person.

Capability to gather facts accurately, analyze causes, evaluate alternate solutions, and arrive at sound conclusions for action.

Ability to manage multiple and/or conflicting responsibilities.

Excellent attention to detail and organizational skills.

Ability to work in a team environment.

Knowledge of all company/department policies and procedures, as well as applicable state and federal lending regulations.

Physical Demands

Must be able to remain in a stationary position 75% of the time.

Will be constantly operating a computer and other office productivity machinery, such as a telephone, calculator, copier, and computer printer.

Will communicate 90% of the time over the phone.

Will constantly work in a state‑of‑the‑art indoor temperature‑controlled, sealed‑window office environment.
