Job Title: Part Time Administrative Assistant
Location: SGSC - Douglas Campus (Main)
This part-time Administrative Assistant will support the Athletic Director in managing day-to-day operations of the college's NJCAA/GCAA athletic programs. The role involves administrative, clerical, and communication duties to ensure smooth functioning of the athletic department. This position is designated by the institution as a Campus Security Authority (CSA).
Responsibilities
Administrative Support and Clerical Duties:
Perform a variety of administrative and clerical duties, including data gathering, data management, correspondence, filing, calendar management, event scheduling, mail distribution, answering phones, organizing mail, and purchasing supplies.
Collegiate Athletics Compliance:
Adhere to all NJCAA/GCAA rules and regulations governing collegiate athletics.
Advise Faculty, Staff, and Students:
Advise faculty, staff, and students on policies or procedures.
Point of Contact:
Serve as a point of contact for other departments, students, faculty, customers, and outside agencies/vendors on behalf of department or unit administrators.
Preparation of Reports and Documents:
Prepare reports and documents, coordinate projects or events as assigned.
Other Duties:
Perform other duties as assigned by supervisor.
Maintain Schedules:
Maintain pool, gym, and lifeguard schedules and coordinate with Facility Management.
Insurance Records:
Maintain accident & insurance records on athletes and submit claim forms to insurance company.
Budget:
Submit travel plans and budget requests for all recruitment and athletic competition activities to the Director of Athletics; assist in overseeing team budgets.
Qualifications
Educational Requirements:
High School Diploma.
Required Experience:
One year work experience in a related field.
Compensation
This is a part-time, non-benefited position. Compensation will be determined based on relevant experience and qualifications.
