Job Description
Works under general supervision of the Director of Student Engagement and provides administrative support to include the exercise of discretion and independent judgment with respect to matters of significance.
Responsibilities
Managing Office/Front Desk Responsibilities – 40%
Participates in the planning and execution of administrative operations as the office manager.
Monitors office procedures and develops, evaluates, and ensures adherence to office procedures.
Provides administrative support to answering front line questions to incoming students and their families, while also serving as a liaison for Student Engagement and Enrollment Services Center.
Applies and interprets, and/or assists in implementing management policies or operating practices.
Develops administrative and technical procedures for the office support staff.
Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies, and procedures. Coordinates travel arrangements and prepares itineraries.
Coordinates meetings, seminars, and other special events and may provide onsite supports.
Coordinates the maintenance of files, records, office supplies, or equipment.
Makes recommendations for process improvements, administrative changes, or new initiatives.
Assists in the checkout of reserved equipment for programs.
Removes NSO Holds for students.
Assists and supports New Student Orientation and event operations.
Budget and Procurement – 40%
Assist with monthly budget reconciliation and tracking for Student Engagement.
Assist with all purchase orders and monitor all purchase orders and open purchases.
Develop predictive budget allocation models for all Student Engagement Accounts and reconcile gift accounts.
Processes all programmatic catering orders and swag orders for Transfer, Family, and NSO.
Student Supervision – 10%
Hires, trains, and supervises student workers and support staff.
Manages Student Engagement student worker handbook, schedules, professional development, and weekly meeting for all student workers.
Supervises front desk workers to complete assigned tasks and responsibilities.
Additional Responsibilities – 10%
Supports The Cisneros Institute in the execution of signature programs.
Supports Student Engagement Office in the execution of Transfer Assemblies, Transfer Week, Family Orientation, Family Programming, JagX, and additional office programming.
Participates in university events, committees, and professional development opportunities as a representative of Student Engagement.
Additional responsibilities as assigned.
Required Education And Experience
Bachelor's degree or higher in related field.
Two years of related experience.
Knowledge, Skills And Abilities
Knowledge of word processing, spreadsheet, database, and presentation applications.
Ability to multitask and work cooperatively with others; interpersonal and communication skills.
Planning and organization skills.
