Legal Secretary Essential Duties

Word‑process and edit a wide variety of legal documents in proper format, including pleadings, briefs, correspondence, subpoenas, contracts, jury instructions, complaints, resolutions, and ordinances.

Abstract information from various sources to produce general legal documentation.

Transcribe legal dictation from dictaphone or shorthand notes, minutes, interviews, and telephone messages at a rate of 110 words per minute; prepare legal documents and correspondence.

Open, maintain, monitor, and close legal case files; manage correspondence and record files.

Maintain attorney appointment calendars, track important court dates, file legal documents with courts, and ensure timely responses to complaints.

Provide assistance to callers when possible, exercising judgment and discretion with confidential matters.

Prioritize duties and deadlines to accommodate the work schedules of multiple attorneys.

Perform related duties as required.

Minimum Qualifications
Applicants must meet the minimum qualifications by the final filing date unless otherwise noted.

Experience:

Two (2) years of verifiable experience as a legal secretary transcribing dictation and typing legal documents, including petitions, motions, briefs, complaints, and other legal forms.

Typing:

Ability to type 55 net words per minute.

NOTE:

The ability to transcribe legal matters accurately from a transcribing machine with no more than a 2% error rate may be required by some departments as a special condition.

Substitution:

A certificate of completion in legal secretarial skills from a recognized college, university, or training program may substitute for six (6) months of the required experience. Proof of satisfactory completion must be submitted at the time of filing.

Selection Procedures

Complete the application and preliminary questionnaire thoroughly to avoid disqualification.

Applicants who meet the minimum qualifications may be required to complete a Supplemental Questionnaire (SQ) to provide specific experience details.

Candidates who meet the minimum qualifications will complete a multiple‑choice written exam. The exam assesses:

Legal office practices, procedures, terminology, and business English; knowledge of filing systems.

Operation of modern office equipment.

Transcription skills.

Independent composition of correspondence.

Understanding and following directions.

Proofreading and problem solving, including mathematical computations.

Typing 55 net words per minute.

Effective oral and written communication.

Exam banked score valid for three years from the date of the examination. The score can be applied to future announcements using the same test within one year. After one year, you may re‑take the test, which will become the official score.
