Job Summary
The Assistant Manager of Facilities supports the Manager of Facilities with the coordination and administration of activities related to the cleaning, maintenance, and enhancement of the library’s buildings, facilities, grounds, electrical and mechanical systems and vehicles; performs other duties as assigned. Reports to the Manager of Facilities.
Essential Functions
Responsible for operation of the Maintenance Department in the absence of the Manager of Facilities.
May provide technical guidance and/or training to co-workers.
May schedule work and assign tasks to maintenance personnel.
Make recommendations to manager and provides feedback on the work performance of the facilities team.
Assist with departmental coaching and the evaluation process.
Identifies opportunities to improve service to internal and external customers.
Works with manager to arrange for repairs and maintenance.
Helps manager with forecasting future needs for facilities.
Assist manager in project planning, including collecting information on project costs from multiple vendors.
Works with supervisor to set department goals and objectives; monitors progress towards them.
Conducts regular inspection of facilities and reports back to supervisor with facility needs, including issues with appearance and systems maintenance.
Assists in supervision of evening and morning maintenance shifts.
Review and maintain inventory records.
Assist in delivery, cleaning and other maintenance tasks as needed.
Orders supplies and equipment; tracks and monitors usage.
May be required to work in multiple locations and on any of the 7 days of the workweek (Sunday – Saturday) and be available to address issues when needed.
Attend meetings and participates in committees and organizations that further the library’s mission and goals.
Keep abreast of maintenance best practices and library developments by attending workshops and educational programs and reading periodicals and specialized literature; attends staff meetings.
Keep up to date on OSHA/ADA requirements
Respond to after hour issues (ex: alarms, emergencies) as needed.
Assist with library wide snow removal, including parking lots and staff/patron walkways.
Required Knowledge, Skills and Abilities
Ability to gain thorough knowledge of Peoria Public Library’s policies and procedures.
Ability to act as a representative of Peoria Public Library to the public.
Effective decision-making skills with strong customer focus.
Knowledge of electrical, plumbing, mechanical, HVAC, Blueprint reading and structural repair and maintenance.
Ability to plan, implement and evaluate maintenance provided through in-house and vendor services.
Ability to accurately identify and respond to the needs of the library in a timely fashion.
Ability to effectively develop, manage and monitor department budgets and expenses.
Ability to effectively supervise and motivate staff.
Ability to safely work with chemicals, solvents and other cleaning or ground maintenance products.
Ability to safely operate tools or equipment.
Ability to communicate and work effectively with diverse individuals (customers, vendors, and staff) in order to accomplish library and department goals and objectives.
Ability to maintain a pleasant and productive working atmosphere.
Ability to keep all relevant parties informed of all major issues and to recommend changes as appropriate.
Ability to establish and maintain effective working relationships with all staff.
Knowledge of electronic resources, including the Internet and ability to operate relevant computer systems and office machines.
Ability to obtain a Class “C” Non-CDL Driver’s License.
Required to have a valid IL driver’s license.
Must have/obtain Hepatitis B vaccination. The library will provide, if needed.
Requirements
High School Diploma or G.E.D.
2-4 years of relevant experience, including cleaning, plumbing, electrical, mechanical, and HVAC or equivalent combination of technical training, education or experience.
Physical and Environmental Conditions
Work requires routine physical effort in the handling of light to moderately heavy materials. May require standing for long periods of time and frequent stooping and bending. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, libraries, classrooms or meeting and training rooms, e.g., use of safe work place practices with office equipment, avoidance of trips and falls and observance of fire and building safety regulations and traffic signals when driving. Work may involve routine exposure to chemicals and paint. Required to work outside the building in an array of weather conditions.
