
Shipping Coordinator

Registrar and Shipping Coordinator, West Coast
Registrar and Shipping Coordinator coordinating West Coast logistics, inventory, and client order fulfillment for a contemporary design gallery. Responsible for the movement, documentation, and stewardship of fine art, furniture, and collectible design across sales, exhibitions, loans, and special projects.
This position is
hybrid , reporting to the Los Angeles Gallery location.
Core Responsibilities
Lead West Coast shipping and logistics operations across all departments
Manage inventory intake, condition reporting, and tracking in coordination with warehouse teams
Coordinate receiving, storage, transportation, and order fulfillment workflows
Partner with sales and client services on availability, estimates, and delivery timelines
Arrange domestic and international shipping, including trucking, white glove delivery, and customs
Manage relationships with West Coast and national shippers, art handlers, and storage vendors
Oversee crating, restoration logistics, returns, claims, and insurance coordination
Support exhibitions, loans, inter-gallery transfers, and special projects
Maintain accurate inventory systems and reporting; track shipping costs and process invoices
Requirements
Minimum
5 years experience
in logistics, registrar, or gallery/museum operations
Experience shipping
furniture and 3D objects
Strong familiarity with
Los Angeles and San Francisco shippers and art handlers , plus national vendors
Experience managing
export shipments
and related documentation
Ability to
quickly source quotes , compare vendors, and problem-solve under tight timelines
Strong understanding of
packing, handling, and warehouse best practices
Highly tech savvy, with proficiency in inventory, CRM, and logistics systems, as well as Excel, Google Workspace, and emerging AI tools; able to quickly learn and adapt to new technologies
Excellent organizational skills, attention to detail, and clear communication
Preferred
Experience with
Salesforce, NetSuite, Artlogic, or similar inventory/CRM systems
Compenstation
Competitive salary in the range of $70,000–$80,000, commensurate with experience, plus annual discretionary bonus. Full benefits package includes health coverage, competitive PTO, 401(k) with employer matching, and increased leave with tenure.
This role requires a high level of flexibility and cross-functional collaboration; additional responsibilities may be assigned as needed.
Occasional travel may be required, along with flexibility for evenings and weekends based on shipping, installation, and project timelines.
