
Membership Systems Administrator

Throughout the year, we provide more than 3,000 children, ages 6 weeks through Pre‑K, with high‑quality literacy and STEAM‑infused learning; give 58,000 youth and teens access to sports, aquatics, day and resident camps, teen leadership development programs, and employment opportunities; provide over 200,000 members with programs, services, and facilities to enjoy connection and maintain wellness regardless of age; and engage over 25,000 volunteers and donors from across Atlanta.
Nature And Scope
Under the direction of the Executive Director and Membership Engagement Director, the Membership Systems Administrator will build personalized relationships and provide administrative support. The role involves working with members and program participants to ensure current and retained membership accounts, processing incoming payments, offering alternative payment options for members experiencing financial hardship, and maintaining member accounts including changes, holds, and cancellations. The Administrator will also perform data entry, filing, mailing, phone communications, and member services tasks in accordance with YMCA policies, competencies, mission, and values.
Responsibilities (including, but not limited to)
Adhere to and implement all policies and procedures in the Membership Administrator’s Handbook and facility policies.
Ensure privacy requirements are met, protecting personal information about members and program participants.
Handle membership record keeping and ensure staff complete records accurately.
Promote YMCA programs, register participants, and use the Traction Req system for receipting memberships/programs.
Process all record‑keeping and invoicing of annual/semi‑annual memberships.
Communicate the overall value of belonging to the Y and the benefits of the branch and Y as a whole.
Arrive on time and adhere to dress‑code expectations.
Participate in membership retention and customer‑service functions as needed.
Sell Y memberships to families and individuals while providing excellent service.
Stay up to date on Y programs and events at both the Association and branch levels.
Attend required staff meetings and trainings (SPIRIT POS, SPIRIT Membership Administrator/Back Office, Coach Approach Training).
Contribute to the annual "Y it Matters" Giving Campaign.
Monitor and maintain collection functions, including recovery calls, correspondence, account adjustments, and credit‑memo processing; prepare daily Recovery reports.
Process daily membership applications, cancellations, changes, and renewals for all program and facility memberships.
Manage membership auto‑charges and bank drafts, maintaining records for declined charges and open invoices.
Provide payment plan options for members experiencing financial hardship and document agreements accurately.
Apply Metro Atlanta YMCA risk and safety guidelines, best practices, and emergency procedures.
Teach, promote, and practice the guiding principles of the Y while incorporating character values of honesty, caring, respect, and responsibility.
Requirements
High school diploma or GED and 2+ years of customer service experience (paid or volunteer).
Minimum age 18 years.
Working knowledge of computers, Microsoft Office (Word and Excel), and Internet Explorer/Google Chrome.
Ability to handle multiple tasks independently, solve problems, and manage time effectively.
Strong customer‑service, conflict resolution, and analytical skills.
Excellent written and verbal communication, including proper spelling, punctuation, and grammar.
Proficiency in Traction Rec and completion of Traction Rec Membership Administrator training within the first 30 days.
Current CPR certification or obtain within 60 days of employment.
High degree of human‑relations skills and the ability to facilitate member interaction and socialization; considered a team player by members, co‑workers, and management staff.
Pass a criminal background check and drug screening.
Ability to establish, collaborate, and maintain relationships with staff, Y members, volunteers, schools, and the general public.
Ergonomic Requirements
Sitting (two‑to‑three hours at a time), bending, stooping, standing, 80% repetitive keyboard input.
