Our Admin Coordinator Team is essential to keeping the Magic Kingdom Administrative Desk & Cast Information Office running smoothly. It goes without saying that there will be phone calls, ordering, and meeting support, but this job is very much about people , about building relationships and leveraging your peers and partners within the park to help our Cast be successful. As the "face" of the Magic Kingdom, your professionalism, loyalty, and attitude reflect the office, and as such, are a critical component to its success.
This is a part-time hourly non-union role and will report to the Project Manager.
What You Will Do
Partner as the information hub for the residents of Magic Kingdom, including Executives, Leaders, Cast Members, Operating Participants, WDI, Vendors, etc.
Drive team effectiveness and anticipate the needs of the organization
Maintain an organized and professional environment while providing service-focused delivery
Provide general office management - keep up with multiple tasks, deadlines, and coordinate and drive responses effectively
Monitor phones, calendars, shared mailboxes, and send daily operational updates
Assist the Park Planning and Integration team with Cast engagement events, media events, and activations
Maintain up-to-date and accurate records
Ensure daily maintenance and cleanliness of the Administration Desk, Conference Rooms, Pantry, Cast Information Office, and Cast Communication Stations
Managing and obtaining backstage clearance for non-residents
Proactively greet, engage, and assist Cast Members with utilizing company resources and connecting with Cast Care Leaders at the Cast Information Office
Stay informed about front-line Cast and Guest experiences
Required Qualifications & Skills
Strong verbal and written communication skills, telephone etiquette, and an eye for detail/accuracy
Strong time management and follow-through skills, along with the ability to be flexible with daily tasks
Ability to handle confidential information, demonstrating good judgment and discretion
Effectiveness and professionalism working in a team environment alongside administrative professionals, project managers, senior leaders, and executives
Effective problem-solving abilities and continuous improvement skills by contributing innovative and creative ideas
Ability to build solid inter and intra-team relationships, with the patience and passion to be truly helpful to our Cast and your co-workers, and go the extra mile without being asked
Proficiency with technology, including Computers, Printers, Smartphones, Internet Browsers, Microsoft Outlook, Word, Excel, PowerPoint, Teams, One Note, etc., and confidence to learn new programs
Ability to lift, carry, and move items that are 10-25lbs
Flexibility and willingness to work nights, weekends, and holidays
Preferred Qualifications
Ability to connect the dots and be proactive
Strong working knowledge of TWDC resources, applications, and benefits
Curious by nature, self-motivated
Strong problem-solving skills
Desire to solve for yes, helps create a welcoming/inclusive environment
Existing awareness of the Magic Kingdom's onstage and backstage operating areas
Required Education
High school diploma or equivalent
The hiring range for this position in Lake Buena Vista, FL is $20.10 to $25.10 per hour. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience, among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
