Arts & Sciences Department Administrator
Position Purpose: To manage, oversee, and coordinate the administrative operations of the Department of Economics, prioritizing multiple activities and deadlines. The Administrator serves as a key advisor to the Chair and faculty on operational and financial matters, ensuring efficient, accurate, and compliant departmental operations.

Location: Hanover, NH. Remote work eligibility: Onsite only.

Responsibilities
Budget Strategy & Financial Management

Develop, manage, and monitor the department budget within parameters set by the DOF Fiscal Office, including operating accounts and endowments.

Oversee reconciliation of departmental accounts and prepare financial reports for the Chair. Process financial transactions including purchase orders, reimbursements, journal transfers, and payments related to prizes, awards, and research activities.

Ensure compliance with institutional financial policies.

Faculty Affairs

Coordinate faculty recruitment processes, advise search committees on procedures, manage applicant communications, and arrange candidate visits.

Support faculty appointments, reappointments, promotions, and tenure processes.

Maintain confidential personnel files and ensure timely completion of required documentation and reporting.

Course Scheduling & Student Support

Support departmental course scheduling, including coordination of cross-listed courses and communication with the Registrar’s Office.

Monitor progress of majors and minors and communicate requirements, deadlines, and policies to students.

Advise students on enrollment matters, transfer requests, and departmental procedures.

Administrative Communication

Serve as a primary administrative contact representing the department to internal and external constituencies.

Manage departmental communications including email announcements, website content, publications, and program materials.

Coordinate donor and alumni communications in partnership with Arts & Sciences Development.

Event & Program Management

Plan and execute departmental events including lectures, workshops, conferences, seminars, faculty visits, and student presentations.

Manage logistics including scheduling, travel arrangements, space reservations, catering, publicity, and expense tracking.

Information & Data Management

Maintain departmental records and databases in accordance with institutional policies, including student, financial, and personnel records.

Ensure appropriate data integrity, confidentiality, and retention practices.

Facilities & Operations

Coordinate facilities-related matters including space assignments, maintenance requests, and access.

Partner with FO&M and other campus offices to support departmental operations.

Staff Supervision

Supervise student employees and temporary staff. Assign work, monitor performance, and process payroll documentation.

Advise faculty and leadership on administrative HR processes in coordination with central HR.

Other Duties

Demonstrate professionalism and collegiality in interactions and communications with others, fostering an inclusive environment.

Perform other duties as assigned.

Qualifications

Bachelor’s degree and at least 5 years of relevant experience.

Excellent verbal and written communication skills, including high-volume professional email communication.

Strong planning, organizational, and problem-solving skills.

Knowledge of financial and budget principles and procedures.

Ability to learn and apply new technologies, including enterprise systems and AI-enabled tools.

Strong attention to detail and accuracy.

Ability to work independently and collaboratively in a complex academic environment.

Ability to maintain confidentiality and handle sensitive information appropriately.

Demonstrated ability to manage multiple priorities and deadlines.

Commitment to supporting a diverse and inclusive academic community.

Preferred Qualifications

Experience in higher education or academic administration.

Experience supporting faculty processes including searches, appointments, and course scheduling.

Experience with enterprise administrative systems (e.g., Banner, Oracle, or similar platforms).
