Position Definition
The Administrative Assistant of Management Information Systems shall provide direct support to all functions relating to the Management Information Systems Director and Department.
Relationship
The Administrative Assistant shall be directly responsible to the Director of Management Information Systems.
Qualifications
Education/Experience
High school diploma or GED.
Minimum three (3) years’ experience as an Administrative Assistant.
Minimum one (1) year experience as an Administrative Assistant to a Director/Department Head/Administrator, preferred.
Skills/Knowledge
Advanced computer skills, including thorough knowledge of Windows, Microsoft Office Suite, and departmental software.
Ability to work in a team environment.
Secretarial skills for effective use of office equipment (phone system, fax, copier, scanner, etc.).
Ability to maintain complete confidentiality.
Excellent interpersonal skills—patience, understanding, congeniality.
Excellent oral and written communication skills.
Organizational, planning, and job-management skills to complete assignments with minimal supervision.
Attention to detail and accuracy.
Regular attendance at assigned work hours, subject to lawful leave rights and responsibilities.
Proficient data collection and entry skills.
Customer service skills with knowledge of department services.
Physical
Ability to stand, bend, stoop, sit, lift, reach, and communicate effectively.
Ability to ambulate independently in and around work areas.
Ability to travel to and from assigned work locations without employer support.
Ability to sit for long periods (up to 3 hours).
Manual dexterity to perform job duties.
Authority
The Administrative Assistant will have the authority to perform all functions listed below in accordance with established policies and procedures.
Functions/Duties/Responsibilities
Essential:
Provide front-line communication regarding MIS opportunities for CLIU #21, school districts, community, and business entities.
Develop, coordinate, and maintain all documentation for MIS and its grants.
Assist in compiling the annual needs assessment for local school districts.
Assist in the operational implementation of MIS meetings.
Collect, synthesize, and produce annual MIS statistics.
Type and file correspondence, purchase orders, memos, reports, and invoices.
Coordinate maintenance contracts on MIS hardware.
Coordinate maintenance on MIS vans.
Coordinate delivery and storage of purchases made by MIS.
Answer phone, take messages, and assist callers with requested information.
Obtain, gather, and organize pertinent data as needed and put into usable form.
Provide day‑to‑day secretarial functions to the department.
Assist in compiling information for billing.
Send and track billings and payments.
Secondary:
Maintain correspondence, informational, and budgetary files.
Represent the MIS department via telephone on all MIS development issues.
Assist with grant facilitation.
