Program Summary
Conservation Corps New Mexico (CCNM) operates conservation service programs across southern New Mexico that empower individuals to positively impact their lives, communities, and the environment. CCNM connects youth, young adults, and recent veterans with public‑land conservation projects.

Position Summary
The Administrative Specialist supports day‑to‑day operations at CCNM, performing general administrative tasks such as answering phone calls and emails, managing office supplies, creating reports, organizing events, submitting funding proposals, and supporting recruitment, onboarding, and training.

Finance Responsibilities

Assist with management of petty cash, obtain approvals, and reconcile expenses per Business Manual.

Administer and train staff on use of WEX Cards.

Administer and train staff on visa reconciliation.

Track lost receipts and payroll deductions.

Assist staff with monthly visa reconciliations.

Maintain inventory of active and canceled credit cards.

Obtain invoicing approvals and submit for processing.

Administration Responsibilities

Assist with onboarding and exit processes for seasonal staff and members.

Maintain documentation to meet compliance with funders, partners, and internal policies.

Stay current on internal and external policies affecting processes, including state and federal laws.

Process and track workers’ compensation claims; train participants in the claims process.

Manage credit card reconciliation, database upkeep, and other administrative processes.

Assist with social media posts and responses as needed.

General Office Responsibilities

Support technology needs: order equipment, manage security accounts, and assist with tech setup.

Lead office supply ordering and inventory management.

Respond to internal and external inquiries and communication requests.

Train members and staff on office technology and Conservation Legacy systems.

Greet and assist members and visitors.

Advocate for CCNM staff and participants on policy development.

Support field staff with administrative and database questions and concerns.

Organizational Advocacy

Engage, lead, and support a positive work environment for staff and community partners.

Participate in organization‑wide teams, projects, and initiatives supporting strategic plan goals.

Report potential complaints as identified in the Personnel Policy Manual.

Assist or lead other responsibilities as assigned.

Commitment

Qualifications

Associate degree or equivalent experience.

Proficient with Microsoft Office or similar platforms.

Ability to hold staff and oneself accountable in remote locations.

Valid driver’s license and insurable driving record.

Pass criminal history check requirements.
