
Warehouse Administrative Clerk/Safety Coordinator

Position Overview
We are seeking a detail‑oriented and proactive Warehouse Administrative Coordinator to join our dynamic team in Norfolk, VA. This role combines traditional administrative duties with safety coordination, inventory management, and customer service responsibilities. The ideal candidate will be highly organized, possess excellent communication skills, and demonstrate strong problem‑solving abilities and the capacity to thrive in a fast‑paced warehouse environment.
Essential Functions
Coordinate with outside contractors and manage visitor protocols
Process inventory adjustments and create customer orders for prop repairs
Maintain organized filing systems and manage record retention schedules
Create new hire packets
Inventory Management & Quality Control
Oversee Coast Guard kit inventory management, including monitoring stock levels and coordinating with management on supply needs
Manage cycle count processes, including scheduling, variance analysis, and discrepancy resolution
Process shipping discrepancy reports (OS&D) and coordinate appropriate resolutions
Utilize critical thinking skills to evaluate claims and make informed decisions
Maintain accurate data reports and ensure timely updates
Safety Program Management
Coordinate and conduct safety training programs, including hazardous materials training
Manage safety documentation and maintain training matrices
Plan and execute safety initiatives and events
Process incident reports and conduct investigations
Oversee contractor safety program compliance
Coordinate with vendors for safety equipment maintenance
Conduct regular safety inspections and maintain detailed records
Driver Program Support
Process and maintain driver documentation including manifests and fuel receipts
Reconcile fuel transactions and report discrepancies
Ensure proper distribution of safety documentation to drivers
Technical Requirements
Proficiency in Microsoft Office Suite, particularly Excel and Word
Experience with AS400 systems preferred
Ability to assist employees with various software platforms including Workday
Strong technical aptitude and willingness to learn new systems
Customer Service
Provide backup support for will‑call operations
Maintain professional communication with customers, sales team, and internal stakeholders
Process customer requests and inquiries efficiently
Required Qualifications
Strong organizational and time management skills
Excellent attention to detail
Outstanding written and verbal communication abilities
Ability to work independently and demonstrate initiative
High degree of integrity and commitment to confidentiality
Problem‑solving skills and ability to work under pressure
Proven ability to manage multiple projects simultaneously
This position operates in a warehouse setting and requires occasional physical activity including walking throughout the facility, handling documents, and operating office equipment. Must be comfortable working in an industrial environment and adhering to all safety protocols.
