is hiring a
Administrative Support Services Supervisor – Emancipation Center . The Administrative Support Services Supervisor serves under the general direction of the Program Director. They supervise the daily operation of one or more support services for the 24/7 222-bed site, including all Unit Support staff, registration, clerical services, office space, equipment and supplies, vendor management and other support services. The Administrative Support Services Supervisor establishes work procedures and standards to improve efficiency and effectiveness of assigned operations; compiles, prepares and maintains appropriate reports and follows up for the site. Serves as the Harris Center liaison to Facilities, Housekeeping, Security, and other support departments and contracted vendors. Manages the preparation, performance, follow up, and reporting processes for these activities. Prepares reports to support administrative decision making regarding physical plant operations. Supervises a group of primarily para‑professional level staff and ensures all guests and tours are scheduled accordingly. Ensures compliance with established corporate standards and may be responsible for reviewing and evaluating the work and performance of subordinates. Purchases and maintains all consumer and staff related food, supplies, equipment and par levels. Serves as the timekeeper for the program responsible for scheduling all of the Care Ambassadors (formerly known as Psych Techs) and approx. 50 on‑call. Makes day‑to‑day operational decisions at the site. Has authority for personnel actions. Thorough knowledge of department processes.
Your role in Action
Serves as liaison between site and vendors for contracted services, creating & submitting work orders/requests as needed including Security and Telecommunication needs (i.e. card readers and telephones).
Serves as the Fixed Asset Designee (FAD) for the project, is responsible for receiving/delivery of supplies/packages, and completes request for delivery or disposing of furniture/file cabinets/etc.
Serves as the Site Purchasing Specialist and monitors expenses and budgets the 222‑bed project processing petty cash and purchasing card (p‑card) reconciliations.
Supervises the Unit Support staff while managing gaps in Care Ambassador shift scheduling.
Reviews payroll for project as TimeKeeper.
Assists IT tech by changing out monitors and other equipment when needed and reports any IT problems which staff are experiencing serving as liaison for on‑site assistance.
Coordinates quarterly preventative maintenance on BP vital sign machines with contracted vendor and updates Nursing Supervisors accordingly.
Coordinates with Housekeeping for terminal cleans on the units, bed bugs, etc. as well as routine activities.
Assists Pharmacy, Medical Records, Clinical, and Administrative Staff with facility‑related needs.
Assists with delivery of parking cards and keys to staff.
Clerical duties as assigned including creating vehicle logs.
Special projects as assigned by supervisor.
Education
High School Diploma or General Education diploma
Experience
5 years general operational experience minimum, experience in community mental health/crisis services, a plus
Requires Knowledge, Skills & Abilities
Must be able to demonstrate basic computer skills including data entry, word processing, excel spreadsheets and other agency required competencies.
Must be knowledgeable in EHR, EPIC system.
Proficiency in established record keeping and filing.
Ability to pass and maintain Handle with Care training requirements.
Ability to work independently.
Ability to handle multiple tasks simultaneously and to prioritize work.
Ability to perform detail‑oriented tasks accurately.
