Job Description
We are searching for the best talent for an Executive Administrative Assistant. This hybrid position is based in Titusville, NJ. The role requires four (4) days onsite and one (1) day remote.

This position supports the Chief Scientific Officer, Scientific Affairs, requiring strong organizational and communication skills.
Responsibilities and Key Tasks:
Provide proactive, comprehensive administrative support to the Chief Scientific Officer (CSO), Scientific Affairs
Manage a complex executive calendar, including meeting coordination, prioritization, and logistics
Coordinate and support meetings and events (from 1:1s to large forums), serving as the day‑of point of contact and ensuring technology, rooms, and related services are in place
Plan and manage domestic and international travel, including itineraries and real‑time support during potential disruptions
Prepare and submit expenses, purchase orders, and other administrative transactions accurately, timely, and in compliance with company policies
Maintain files, distribution lists, and organizational information (e.g., org charts); coordinate routine operational requests and reporting
Partner effectively across the organization, including the Scientific Affairs Leadership Team (SALT), Scientific Affairs admin team, and with business partners to enable connectivity and collaboration
Handle sensitive information with discretion and confidentiality; always demonstrate professionalism and sound judgment
Leverage required technologies effectively and continuously learn new tools and features to improve efficiency
Requirements
High school diploma or equivalent is required
Minimum of eight (8) years of experience supporting high‑level executives
Experience in a fast‑paced, high‑growth, matrix environment
Strong written and verbal communication skills, including drafting/editing correspondence and preparing materials for executive review
Ability to manage competing priorities, anticipate executive needs, and work independently with minimal supervision
Maintain strict confidentiality and operate with poise, professionalism, and appropriate urgency in a rapidly changing environment
Exercise sound judgment and discretion; proactively identify and resolve issues; maintain strong attention to detail and organization
Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), virtual meeting platforms (Zoom, Teams), and enterprise tools (e.g., Workday, Ariba/eMarketplace, IRIS)

Pay and Benefits
Base Pay Range:
$63,000.00 - $101,430.00
Benefits:
Eligible benefits include vacation, sick time, holiday pay, work/personal and family time, parental leave, bereavement leave, caregiver leave, volunteer leave, and military spouse time‑off. Additional benefits subject to company policies and date of hire.
