About the role
Because International is looking for a versatile, dependable Administrative Coordinator who thrives on variety and takes pride in making everything around them run smoothly. This is a ground-floor, hands-on role that touches every part of our organization. You will be the connective tissue that keeps our small, mission-driven team moving efficiently. From shipping shoes to answering supporter calls to keeping the office stocked and organized, you will own the operational details that allow everyone else to focus on their highest value work.
This role reports directly to the CEO and offers unusually broad exposure to both the executive function and the inner workings of an innovative nonprofit. We are an AI-forward organization that actively invests in automation and technology to multiply our impact. Over time, this role will evolve as we implement new tools and systems, meaning the right person will grow alongside the organization and take on increasing responsibility.
What you'll do
Shipping and fulfillment
Manage all U.S. shipping, ensuring orders are fulfilled within two business days
Process, pack, and ship shoe and merchandise orders through Shopify
Manage carrier pickups and shipping logistics
Review and resolve refunded and unfulfilled orders in Shopify
Conduct monthly shoe inventory counts and quarterly merchandise inventory counts
Answer the main office phone line, screen and forward calls, and respond to voicemails within one business day
Monitor and respond to live chat inquiries during business hours, with the support of AI-assisted chat tools
Manage the info email inbox, responding within one business day and routing messages to the appropriate team members
Serve as a welcoming first point of contact for walk-in visitors and local order pickups
Office management
Keep office and shipping supplies stocked and organized
Check and distribute mail; manage outgoing mailings as needed
Coordinate office needs such as equipment, maintenance, and errands
Support team events, celebrations, and day-to-day office operations
Cross-functional administrative support
Print and prepare supporter letters, thank-you notes, and physical mailings in support of the Marketing and Relationship Management teams
Assist with tracking supporter feedback and organizing survey dataHelp prepare materials for campaigns, events, and donor communications as needed
Maintain and update internal SOPs and FAQs related to your areas of responsibility
Technology and process improvement
Learn and use AI tools, automation platforms, and internal systems as part of daily work
Help implement and maintain automated workflows that improve organizational efficiency
Identify opportunities to streamline repetitive tasks and bring ideas to the team
Adapt as the role evolves with new tools and technology over time

Compensation: Salaried: $40,000–44,000 depending on experience
Physical requirements: Must be able to lift up to 50 lbs on a regular basis for shipping and inventory duties
