
OFFICE SPECIALIST - SHERIFF

Overview
Under minimal supervision, performs clerical and administrative duties of considerable difficulty; may direct the work of others; compiles data and operates computer in performance of routine clerical duties to maintain business records and reports by performing the following duties.
Must be capable of regular and predictable attendance at a specified location in order to perform assigned tasks.
Type reports, business correspondence, statements and narrative reports from oral and written communication;
Prepares complex statistical data for reports from a variety of materials and clerical records;
Maintains statistical records and reports, posts information to records, sorts and distributes correspondence from oral and written communication; provides general information to individual members of the staff and general public at the work place or over the telephone to assist in the dissemination of information regarding office activities and practices.
Working knowledge of bookkeeping procedures; working knowledge of business English, office practices and procedures.
May plan, coordinate, and assign individuals to specific duties and directs individuals in the performance of their assigned duties including orienting new employees;
May review and analyze work of others to ensure proper format, correctness, completeness and procedures are followed.
May operate various computer or data system to process, record, and maintain legal documents; calculate and collect fees and other revenue; and assist the general public by searching public records.
May process garnishment and related documents for legal service, monitor and complete returns and records and track garnishment funds received.
Must be NCIC certified and perform gun permit checks that involved researching and analyzing records to determine eligibility for a permit.
Must ensure that confidentiality is maintained regarding personal information of victims, witnesses, law enforcement officers, etc.

Supervision is received from the Sheriff, or designated Officer
No functional or administrative supervision is exercised over support staff.
Education and Experience
High school diploma or general education degree (GED) and one to two years college or technical school and or related or training; or equivalent combination of education and experience.
Must be NCIC certified within 6 months.
Skills, Knowledge & Abilities
Demonstrated job‑related experience in a governmental environment is preferred.
Ability to accurately operate electronic word/data processing equipment and conventional office equipment;
Ability to establish and maintain a record‑keeping system; ability to collect and compare statistical data for reports; ability to follow detailed procedures;
Ability to handle substantial amounts of money;
Ability to make minor administrative decisions in the absence of stated policies and procedures.
Excellent written and verbal communication skills are required.
Must be proficient in computer software applications.
