
Office Assistant

Under the direction of the Director of Administration, this position provides comprehensive administrative, copy and mail, and office services support to attorneys, staff, and Firm operations. This role combines administrative support, copy/print services, mailroom operations, and general office support.
Key Responsibilities
Administrative Support
Provide general administrative support to attorneys and staff
Responsible for booking all travel request for attorneys and designated support staff to include airline reservations, hotel reservations, and car rentals. Forwards necessary documentation to Director of Administration and HR for approval
Responsible for ordering office and lounge supplies. Manages inventory of supplies and orders as needed
Assists with Hospitality Services. Duties include preparing conference room set up for in-house meetings and clearing up upon completion. May assist with ordering and picking up lunch orders
Assists with reception desk coverage during lunch hour and breaks. Perform duties of the receptionist in his/her absence
Copy Center & Document Services
Complete copy, print, scan, and binding requests for attorneys and staff with attention to detail and timeliness
Maintain confidentiality of all client and firm materials
Track, log, and prioritize tasks using internal job tracking systems or logs
Deliver completed jobs to the appropriate attorney, staff member, or office location
Communicate clearly with requestors to clarify special instructions, deadlines, or specifications
Mailroom Operations
Receive, sort, and distribute incoming mail and packages
Prepare and process outgoing mail, including interoffice deliveries, using appropriate postage, and shipping methods
Assist with hand deliveries and courier services as needed
Knowledge and Skills
Good communication and interpersonal skills
High attention to detail and strong task follow-through
Ability to follow written and verbal instructions
Capable of managing time and competing priorities in a high-volume setting
Comfortable with standard office equipment (copiers, postage machines, delivery carts)
Experience
No prior experience required. Training will be provided
Previous work in a print shop, mailroom, or administrative services environment is a plus
Education
High school diploma or equivalent preferred
Physical Demands
Regular standing, walking, and use of hands and arms
Frequent bending, reaching, and handling of paper and office materials
Ability to lift and carry up to 30 lbs. (with assistance if needed)
Working Conditions
Full-time, on-site position at the Honolulu office
Hours are in person - Monday through Friday, 8 a.m. to 5 p.m.
Occasional support during early mornings, evenings, or weekends may be required
