Position Description
Serves as the principal secretarial support to a department head. This classification is restricted for use in the office of a chairperson of a large academic department, a director of a large approved center or institute, a director of a budgeted large administrative department, or a higher-level administrative officer. Responsible for independently performing highly responsible and confidential clerical duties. May be required to supervise a clerical staff and/or assume considerable responsibility for office management. A thorough knowledge of the policies and procedures of the employing unit as well as a familiarity with overall University policy is necessary to conduct the assigned work. Performance evaluation is based on the coordination and accomplishment of office activities within established policies.
Major/Essential Functions
Provide comprehensive administrative support in a dynamic, fast-paced environment, managing multiple tasks simultaneously.
Communicate effectively with internal and external stakeholders across various departments within the School of Medicine, while answering and screening phones, email inquiries and mail for various leaders.
Manage workloads by independently prioritizing tasks to ensure all department deadlines are met.
Manage calendars and schedule meetings for leadership using Microsoft Office Outlook.
Prepare and maintain the physical suite environment and oversee the ordering of supplies to ensure seamless daily operations.
Collaborates closely with the Unit Manager to execute strategic projects and ensure the successful achievement of departmental goals.
Execute administrative written and verbal correspondence through email and phone with a focus on accuracy and detail.
Occasional Duties
Requires the flexibility to work before or after office hours and weekends to meet deadlines or attend campus events.
Required Qualifications
High school diploma or equivalent.
Four years progressively responsible clerical experience, with one year supervisory experience.
Additional education and/or related experience to equal four years may substitute on a year for year basis.
Preferred Qualifications
Associate degree in Business Administration, Office Management, or related field.
More than 5 years of administrative experience with 2 years supervisory experience.
