Phase II (Administrative) Coordinator

Position Summary
The Phase II Coordinator works collaboratively with the Office of Medical Education to provide administrative and operations support toward the implementation of the Phase II curriculum of the undergraduate Osteopathic Medical Education program at SOM. Primary responsibilities include providing support solutions for learners, staff, and faculty. The Phase II Coordinator reports to the Director of Pre-Clinical & Clinical Support.

Job Duties

Collaborate and coordinate with the Director of Pre‑Clinical & Clinical Support and the Phase II Curriculum Director to execute daily operational goals.

Update and maintain data on a daily basis in the UIW SOM curriculum and content management system, including rotation schedules, session and room scheduling, and learner assignments.

Serve as the primary administrative support for the assigned team and during Phase II meetings, such as taking meeting notes.

Assist with scheduling and coordination of multiple Phase II assessments from development to execution.

Collaborate with the team to support events and projects as assigned.

Perform other related duties as assigned.

Knowledge, Skills and Abilities

Excellent written and verbal communication skills.

Strong skills in creating reports.

Strong administrative and project/event coordination skills.

Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) or equivalent.

Commitment to quality and service.

Ability to work in a team and to be flexible with others in a variety of circumstances.

Ability to effectively prioritize tasks and goals while working with multiple assignments in a deadline‑driven environment.

Ability to work effectively with individuals from diverse communities and cultures.

Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education
Bachelor’s Degree.

Required Work Experience

Three (3) years of professional coordination/administrative support experience in higher education and/or medical school (internship or other relevant experience may be considered).

Three (3) years of experience in database management in a professional environment.

Preferred Qualifications

Familiarity with principles and practices of Osteopathic Medicine.

Experience with Microsoft Teams.

Required Certifications, Licenses or Registrations
None.

Work Hours

Monday through Friday, 8 am to 5 pm with extended hours as needed to meet departmental and learning community goals.

Some weekends may be required.

Physical Demands

Ability to lift up to 25 lbs for table/chair set‑up/tear‑down at events and moving testing/event materials.

Ability to reach overhead, bend, and squat to retrieve testing/event materials.

Ability to push/pull event carts holding up to 50 lbs.

Ability to actively engage in events for extended periods of time, and regularly move about campus and event venues to engage faculty, staff, and students, as well as attend meetings on and off campus.
