Salary Range:
$29.08 - $30.85 per hour (commensurate with experience).

Position Summary
Under the supervision of the Business Administrative Associate for Academic Affairs, the Medical Education Program Coordinator performs academic and administrative duties to support the Academic Affairs office. The role coordinates all course components across the curriculum (Phase 1–3/M1‑M4), supports department initiatives, and handles other co‑curricular coordination needs for the Peoria Academic Affairs program.
Duties & Responsibilities
Provides comprehensive professional and administrative support to the Medical Education Academic Affairs leadership team.
Assists with coordinating and supporting curricular activities across Phases 1–3, ensuring alignment with program goals and accreditation standards.
Supports course planning and implementation, manages schedules and communications, and collaborates with faculty and staff to facilitate seamless program delivery.
Generates, analyzes, and maintains reports, attendance records, documents, and program data to support decision‑making, quality improvement, and compliance.
Coordinates and executes student curricular projects and events across all program phases.
Collaborates with faculty, staff, and administrative stakeholders to organize timelines, define project scope, and align with curricular objectives.
Assists in scheduling sessions, securing resources, coordinating logistics (space, materials, technology), and communicating event details.
Monitors project progress, troubleshoots issues, and ensures a high‑quality learner experience.
Tracks participation, gathers feedback, and supports post‑event evaluation to inform continuous improvement.
Acts as liaison to the Disability Resource Center (DRC), coordinating ADA accommodations for medical students.
Works with DRC, faculty, and course leaders to ensure approved accommodations are communicated and implemented consistently.
Monitors compliance with institutional policies and regulatory requirements while maintaining confidentiality of student information.
Provides operational and administrative support to the Assessment Coordinator in student assessment planning and execution.
Assists with exam scheduling, preparation of assessment materials, coordination of testing logistics, and maintenance of assessment systems.
Provides secondary support to the Lead Phase 1 Coordinator and/or Program Coordinator in monitoring and tracking student attendance.
Assists with identifying attendance concerns, generating reports, and supporting follow‑up processes.
Supports coordination and administration of make‑up assessments, including scheduling and communication with students and faculty.
Contributes to LMS administration and compliance by assisting with course setup, content organization, and accurate information maintenance.
Provides user support to faculty and students, troubleshoots access or functionality issues, and ensures courses meet accreditation requirements.
Supports data tracking and reporting within the LMS to promote consistency, quality assurance, and effective program delivery.
Serves as a proctor for in‑person and virtual assessments.
Minimum Qualifications
High school diploma or equivalent.
Four (4) years (48 months) of relevant experience, from the following categories:
College coursework in medical education, education, communications, public relations, or related field as measured by: 30 semester hours = 1 year; 60 semester hours (Associate’s Degree) = 1.5 years; 90 semester hours = 2 years; 120 semester hours (Bachelor’s Degree) = 3 years.
Progressive clerical or secretarial experience, including electronic word processing and database management.
One (1) year of experience comparable to the Medical Education Program Specialist level or similar role within a medical education program.
Preferred Qualifications
Bachelor’s Degree.
Knowledge of the medical education curriculum.
Additional Requirements
Illinois residency is required within 180 days of employment.
