Job Description: The Front Office & Service Coordinator serves as the first point of contact for customers and a key support role for daily operations. This position is responsible for managing incoming leads, coordinating schedules, handling administrative processes, and supporting the service department. The ideal candidate is highly organized, customer-focused, and maintains a professional, welcoming presence for all walk-in and phone inquiries.
This role offers a clear path for growth, with the potential to advance into an Office Manager position based on performance and leadership development.
Key Responsibilities:
Greet and assist walk-in customers, providing information about generator products and services in a friendly, professional manner
Screen and manage incoming sales leads, ensuring timely follow-up and proper qualification
Schedule in-home consultations and coordinate calendars for the sales team
Prepare and submit permit applications to local permitting offices, ensuring compliance with all requirements
Receive, process, and track customer payments accurately
Monitor and manage warranty claims, including documentation and communication with customers and vendors
Assist the Service Manager with inventory tracking, control, and replenishment
Order parts and supplies for the service department, ensuring timely availability
Maintain organized records and provide general administrative support as needed
Qualifications:
Professional appearance and positive, customer-first attitude
Strong interpersonal skills and comfort interacting with walk-in customers
Excellent organizational and multitasking abilities
Strong communication and customer service skills
Experience with administrative processes, scheduling, and data entry
Basic knowledge of inventory management and purchasing preferred
Proficiency in Microsoft Office or similar software systems
Ability to work independently and as part of a team
Preferred Experience:
Experience in construction, home services, or generator/energy industry
Familiarity with permitting processes and local regulations
Experience handling payments and warranty coordination
