Summary
The Capital Scholars Honors Program is seeking a professional and friendly front office assistant (extra help) to join our team. In this role, the employee will be responsible for providing general administrative support, scanning, greeting visitors, handling incoming calls, and mail distribution. The ideal candidate is personable, detail-oriented, and able to multitask.
Duties & Responsibilities
Assists with administrative duties such as data entry, scanning and filing documents within the CAP Box folders via computer.
Monitors office supplies by restocking items and making notes of inventory shortages when needed.
Assists with CAP inventory (counting, sorting, etc).
Assists office staff with CAP related events (involves setting up, taking down, and assistance in working at the event).
Answers the telephone, takes messages or routes calls according to office procedures utilizing organizational familiarity and necessary discretion.
Welcomes and assists visitors in a friendly and professional manner and directs them to the person or office they are visiting.
Receives, sorts, and distributes mail and deliveries to appropriate staff/faculty and prepares outgoing mail according to office procedures and policies.
Provides assistance in copying or printing requested documents by CAP staff or CAP faculty.
Keeps the reception area tidy and observes professional etiquette.
Exercises discretion in the performance of assigned duties by being knowledgeable of University and/or departmental policies regarding confidential materials and information and complying with such policies when handling confidential items or providing information to University employees, students, or the public.
Performs other administrative tasks assigned by the supervisor.
Minimum Qualifications
High school diploma or equivalent required.
Experience in answering and screening calls.
Preferred Qualifications
1 or more years of experience in a receptionist, front desk, or administrative support role preferred but will train right person.
Knowledge, Skills & Abilities
Proficiency with office equipment, including photocopiers, printers, and scanners.
Ability to maintain confidentiality and handle sensitive information appropriately.
Ability to work independently and as part of a team.
The ability to work effectively and cooperatively with academic individuals, administrative and professional staff in other university departments, outside professionals and the public.
Strong interpersonal and written communication skills.
Proficiency with computer skills to perform assigned duties using: Microsoft Word, Microsoft Outlook, Microsoft Excel, and various Internet browsers.
Strong Organizational Skills And Multi-tasking Capabilities.
Exceptional ability to create a welcoming environment.
Ability to observe business etiquette and maintain a professional appearance.
