Successful candidates must understand and maintain client confidentiality and information safeguarding, as well as demonstrate strong interpersonal skills. Responsibilities include performing complex and detailed clerical, administrative, and secretarial duties to assist paralegals and attorneys in the representation of clients. Attention to detail, a high level of organization, and working efficiently within a team are essential to be successful in this position.

Essential Functions

Keeps clients informed by maintaining contact, scheduling meetings, and communicating case progress
Maintains an up-to-date list of active files for supervising attorney which contain filing deadlines that need to be calendared
Maintains and updates attorney’s calendar
Works with attorneys to develop legal arguments, motions and other case filings
Develop a case file indexing system that can be used as an active archive for all ongoing and completed cases
Utilize existing files and a variety of other research resources to develop information for pending cases
Draft documents, letters and other correspondence to other counsel, courts, and clients
Meet with attorneys, clients, and other professionals to discuss assigned cases or projects
Drafts legal documents including routine pleadings and motions, affidavits, and interrogatories, files motions and pleadings according to judicial procedures
Researching and drafting grant deeds, trust transfer deeds, and supporting documents
Drafting foreclosure documents, including fiduciary reports/accountings
Researches and analyzes statutes, regulations, legal articles, judicial decisions, and other legal sources; provides written analysis to attorneys
Interviews clients and witnesses and prepares summaries of their statements
Prepares, organizes, stores, and retrieves case files, which may include evidence, exhibits, depositions, pleadings, exhibits, and other items
Assists attorneys with trial preparation, which may include attending trials and hearings
Works with attorneys to ensure timely dispatch of accurate bills at the end of each month
Track and monitor CLE hours for attorneys
Proficiency with typical office software applications, including Adobe and Microsoft Office Suite
Communicates effectively and professionally verbally and in writing
Understands and follows written and verbal directions
Exercises office organizational skills such as paper and electronic filing and managing multiple priorities
Establishes and maintains effective working relationships with coworkers, supervisors, other departments/offices, and other agencies
Works independently and apply logic to solve problems
Maintains a high level of professionalism and confidentiality
Effectively proofreads for accurate grammar, punctuation, and spelling
