
Student Services Coordinator

Position Summary
The Student Services Coordinator plays a central role in supporting the student enrollment lifecycle, including placement, registration, billing support, and ongoing communication with students, families, and faculty. This position requires strong customer service skills, attention to detail, and a solid understanding of educational programs and systems.
Key Responsibilities
Process registrations via phone, email, online systems, and in person
Set up and adjust payment plans as needed
Ensure accuracy of student records, tuition, and course placement
Resolve enrollment issues in coordination with students and faculty
Make enrollment modifications and follow up with students who have not yet enrolled
Monitor billing and past-due balances
Run and review monthly A/R aging reports
Contact students regarding outstanding balances
Update balances and payment schedules in the enrollment system
Schedule and process manual payments
Coordinate third-party payments
Route Music Therapy payments from school districts to Finance
Ensure outside grants and scholarships are directed to Development
Student Services Communications
Monitor and manage the Student Services inbox, responding to:
Refunds and withdrawals
Gift certificates
General inquiries
Communicate clearly, respectfully, and promptly with students, parents, faculty, and staff via phone, email, and in person on matters related to registration, billing, programs, and events
Course & Program Support
Assist with class creation and modifications in collaboration with the Student Services team
Support new student placement activities
Serve on Levine’s Placement Team
Share program information with prospective families
Update student profiles throughout the enrollment process
Serve as a member of the booking team
Support faculty with attendance tracking processes
Assist teammates during high-volume enrollment and scheduling periods
Collaborate with Student Services colleagues on testing and evaluating new software or system enhancements
Key Qualifications
Bachelor’s degree or equivalent combination of education and relevant experience preferred
2+ years of experience in student services, enrollment, registrar, customer service, or administrative support (education or nonprofit environment strongly preferred)
Demonstrated commitment to excellent customer service with the ability to engage professionally and empathetically with students, families, faculty, and staff
Strong organizational skills with exceptional attention to detail and accuracy
Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced, high-volume environment
Experience handling billing processes, payment plans, and sensitive financial information with discretion
Proficiency with databases and enrollment or CRM systems; comfort learning new software and technologies
Excellent written and verbal communication skills
Collaborative team player with the ability to work independently and take initiative
Interest in music education and alignment with Levine Music’s mission and values
