About the Role We are seeking a Communications Project Coordinator to help keep RDF’s communications team running smoothly. This role blends logistics, event planning, and administrative support, from onboarding and conferences to materials, meetings, and deadlines. The ideal candidate thrives on organization, manages multiple priorities with ease, and ensures every detail is handled with care.
Key Responsibilities Onboarding Support Coordinate logistics for new employee onboarding, including scheduling orientations and setting up email
Prepare onboarding materials and welcome packets
Serve as a point of contact for new hires, ensuring they have the tools and information needed to get started
Conference & Event Coordination Assist in planning and executing internal and external events, including conferences, meetings and site visits
Manage travel arrangements, registrations, and accommodation bookings
Coordinate logistics such as shipping materials, scheduling rooms and managing RSVPs
Prepare and organize materials for distribution (agendas, signage, nametags, etc.)
Use CRM tools to pull and organize guest lists, update contact records, and track event‑related communications
Materials, Asset Ordering & Office Supplies Track and order supplies, branded materials, and other assets
Maintain inventory and ensure timely restocking
Coordinate with vendors and monitor delivery timelines
Meeting Coordination Schedule internal and external meetings, including sending calendar invites and reminders
Prepare meeting agendas and supporting documents
Take and distribute meeting notes or action items when needed
Ensure all necessary tech or space logistics are arranged (Zoom links, room bookings, A/V setup)
General Administrative Support Support day‑to‑day administrative tasks in communications department as needed
Maintain organized filing systems and shared drives
Track deadlines and follow up on outstanding tasks
Requirements Required Skills Excellent organizational and time‑management skills, with the ability to prioritize and meet deadlines
Strong written and verbal communication skills
Comfortable coordinating logistics and handling multiple projects simultaneously
Tech‑savvy and proficient with tools like Zoom, Microsoft Office/Google Workspace, shared drives as well as social media platforms
Experience with CRM systems, including pulling contact lists for events, adding and updating records, and maintaining accurate contact data
Detail‑oriented when it comes to scheduling, materials prep, and follow‑up
A problem‑solver who can troubleshoot issues and keep processes moving
Able to work independently but also collaborate effectively across departments
Friendly, responsive, and professional in all interactions
Experience with ordering systems or vendor management
Familiarity with conference or event planning logistics
Education Bachelor’s degree in Communications, Marketing, Public Relations, Business Administration, or a related field preferred
Equivalent combination of education and directly relevant work experience will also be considered
Experience 2–3 years of experience in communications, event coordination, project management, or administrative support
Experience in nonprofit, philanthropy, financial services, or mission‑driven organizations preferred
Prior experience supporting executives or communications teams is a plus
Work Location Hybrid schedule available (2–3 days onsite per week)
Occasional travel may be required (approx. 10–15%)
