
PATIENT REPRESENTATIVE

Position Summary
A Patient Representative reports directly to the Office Manager. The role involves greeting, instructing, scheduling patients, registering them in the computer system, determining insurance benefits, and serving as a liaison between patients and clinical support staff.
Key Responsibilities
Maintain strict confidentiality.
Promptly greet patients and provide courteous assistance.
Check in patients, verify and update demographic and insurance information, assist with ambulatory difficulties, and adhere to office scheduling policies.
Collect payments and enter charges in the computer system.
Register new patients in the computer system and verify addresses, phone numbers, and insurance information.
Answer telephone calls, screen calls, take messages, and convey information to the appropriate parties while demonstrating proficiency with medical office technology systems.
Keep the work area and reception area neat and orderly.
Report problems and concerns to the Practice Manager and help in problem solving.
Attend educational and staff meetings as scheduled.
Determine and input the daily balance of charges and receipts as assigned by the Office Manager.
Performance Requirements
Knowledge of front‑office procedures and medical terminology; excellent grammar and spelling; knowledge of medical office technology systems; skill in greeting patients and answering the telephone pleasantly; strong communication skills; ability to read, understand, and follow instructions; ability to sort and file materials; ability to establish and maintain effective relationships with patients, employees, and the public.
Education
High school education or equivalent.
Experience and Skills
Strong communication skills with consistent incorporation of judgment and discretion.
Working knowledge of medical terminology and coding preferred.
Previous two years experience in a front office using medical management software preferred.
Typing or data entry experience at 40 words per minute.
Typical Physical Demands
Frequent mobility and/or sitting for extended periods; some bending and stooping; occasional lifting up to 50 pounds; manual dexterity for office technology; vision correctable to 20/20; hearing within normal range.
Typical Working Conditions
Work in an office environment with desk and counter work; frequent contact with employees and external agencies; continual patient contact that may involve dealing with angry and upset individuals.
