Position Summary
Reporting to the Practice Director, the Office Coordinator serves as liaison between physicians, office support staff, and the Practice Manager. The Office Coordinator assists the Practice Director with all day-to-day operational, administrative, and fiscal aspects of the physicians’ offices.

Essential Responsibilities / Duties
Perform duties and provide assistance according to Faculty Practice Plan policy and procedures, plus any directives from the Practice Manager.
Ensure efficiency and productivity with respect to administrative and clinical functions of the office.
Monitor physician and patient daily activity; allocate resources and set priorities.
Report any problems immediately to the Practice Manager.
Maintain accurate registration, scheduling, confirmation, and billing functions.
Answer clinic phones and send messages to clinic staff/providers as appropriate.
Recommend improvements to registration, scheduling, and billing procedures.
Oversee and audit encounter form completeness, accuracy, batching, and prompt distribution to billing.
Maintain daily oversight and reconciliation of co-payment and cash collection to achieve a 90% daily average.
Triage patient complaints and work with management to resolve issues.
Monitor missing charge reports.
Oversee ordering of all necessary supplies and equipment; handle payment requests, online ordering, and AP reconciliation.
Coordinate training and onboarding of new employees under the Practice Director.
Assist with payroll and invoice payments.
Ensure that all Best Practice initiatives are followed.
Maintain patient confidentiality per hospital standards.
Perform other duties as assigned.
Job Requirements
2–3 years’ experience in a healthcare environment.
Excellent written and verbal communication skills; strong team orientation.
Preferred Education And Experience
High school diploma, associate or bachelor’s degree preferred. Relevant work experience may substitute for degree requirements.
Experience with IDX preferred.
Knowledge of insurance coverage systems, including co‑payments, referrals, HMO, PPO, and capitated products preferred.
Experience organizing medical charts preferred.
Knowledge, Skills & Abilities (KSAs)
Ability to multi‑task and prioritize daily activities.
Thorough understanding of billing, information systems, medical terminology, and HIPAA requirements.
Proficiency with computers and Windows‑based products.
Analytical and creative problem‑solving skills.
Strong orientation to patient care aligned with the Faculty Practice Plan’s values.
Training in Quality Improvement, Performance Improvement, and related educational programs encouraged.
Capable of thoughtful analysis, creative thinking, and evaluating alternatives.
Compensation Range
$20.67–$29.09 per hour (estimate based on minimum qualifications).
