Position Summary
The Accounting Clerk provides essential support to the accounting department by performing routine clerical and transactional accounting tasks. Primary responsibilities include processing accounts receivable and accounts payable transactions, data entry, filing, and assisting with recordkeeping. This role is well-suited for an individual who is dependable, organized, and looking to build a foundation in accounting and finance.
Accounts Receivable (A/R)
Enter and post customer invoices and sales orders into the accounting system
Apply and record customer payments including checks, ACH, and credit card transactions
Assist with preparation and mailing of customer statements and invoices
Follow up on past‑due accounts via phone and email under the direction of a supervisor
Maintain accurate customer account records and filing
Report unapplied payments and unresolved discrepancies to the appropriate team member
Accounts Payable (A/P)
Receive, sort, and enter vendor invoices into the accounting system accurately
Match invoices to purchase orders and receiving documents; route for approval
Assist with processing check runs and ACH payments as directed
Respond to vendor inquiries regarding payment status and invoice questions
Maintain organized vendor files and documentation
Assist with collecting W‑9 forms from new vendors
General Ledger & Recordkeeping
Perform data entry of financial transactions with accuracy and timeliness
Assist with basic bank and credit card reconciliations under supervisor guidance
Organize and maintain accounting records, receipts, and supporting documentation
Scan, file, and archive financial documents (physical and electronic)
Assist with pulling documentation for audits, reviews, or management requests
Payroll & Administrative Support
Assist with collecting and entering timesheets or hourly time records
Support the payroll team with data entry and filing as needed
Perform general office and administrative tasks in support of the accounting department
Reporting & Compliance Support
Run and distribute standard accounting reports as requested by management
Assist with gathering supporting documents for tax filings and external audits
Follow established internal controls and company accounting policies
Communicate discrepancies or irregularities to a supervisor promptly
Key Competencies
Basic understanding of accounting concepts (debits, credits, invoices, payments)
Proficiency with Microsoft Office, especially Excel and Word
Strong data entry skills with high accuracy and attention to detail
Good organizational skills and ability to manage multiple tasks
Dependable, punctual, and able to work independently with minimal supervision
Professional communication skills and a team‑oriented attitude
Ability to handle sensitive financial information with confidentiality
