What is the Opportunity?
The Operations Coordinator plays a crucial role in managing the business by supporting Directors, Managers, and Project Managers and ensuring the smooth execution of internal processes for the business and projects. The Operations Coordinator supports the Directors by organizing the business’s daily activities and tracking business actions to completion. They also assist field Project Managers in gathering equipment, resources, and information to implement upcoming projects, supporting the administrative elements of managing the portfolio of projects, coordinating licensing & estimates, maintaining budgets, manpower, and work schedules, organizing and participating in business and project meetings, and ensuring all deadlines for corporate, site, program, and project objectives are met.

What You’ll Do Here

Collaborate with Directors to develop essential business documents such as budgets, schedules, scope statements, and business plans.

Handle administrative tasks related to business processes, including project onboarding, payroll, vendor lists, purchase orders, and organizing project kickoff and progress meetings & reports.

Collaborate with Project Managers to develop project management documents, including budgets, proposals, schedules, scope statements, and project plans.

Manage invoices, purchase orders, and inventory reports related to project management.

Manage project schedules, resources, equipment, and information.

Break down projects into manageable tasks and set timeframes.

Use tools to monitor working hours, plans, and expenditures.

Issue appropriate legal paperwork such as contracts and terms of agreement.

Create and maintain comprehensive project documentation and reports.

The Operations Coordinator’s goal is to assist Directors and Project Managers to ensure that all business initiatives, strategies, and projects are completed on time, within budget, and meet high-quality standards.
