Job Description
Facilities Coordinator
We are seeking a motivated, customer service oriented individual to support the Retail Development team.
Facilities coordinators handle building equipment emergencies on an ongoing basis and serve as a liaison between company employees and outside contractors called in to fix problems. They manage building and equipment maintenance schedules, test building security systems, and prepare for emergencies by creating action plans. They may be involved in planning for the future building space and supply needs of the organization and communicate daily with supply vendors and update company executives regularly.
This role will be joining a small team of 2 other facilities individuals to support the retail business. This position is an office based position, Monday through Friday.
Responsibilities
Facilities management of all SIS location
Managing building and equipment maintenance schedules
Responding to urgent maintenance calls
Provide backup for all facilities management for corporate retail stores as and when required
Provide proactive facilities management including all maintenance and service contracts, as well as emergency repairs
Process all purchase orders, invoices relating to facilities management
Assist with competitive bidding
Follow all internal processes and protocol
Update all vendor and contact files
Provide regular reporting to manager as agreed
Work and communicate effectively with different departments and retail locations
Perform general administrative duties relating to facilities
Any other work as required by facilities supervisor and retail development manager
Provide emergency availability on alternate weekends
Requirements
Professional Requirements
Two to Five years’ experience in facilities management in either retail or commercial environment
Ability to troubleshoot retail maintenance and construction issues at all times
Basic knowledge of construction
Experience of SAP desirable, but will consider other well‑known systems
Basic knowledge of Excel necessary
Excellent communication skills
Ability to multi‑task and handle changing priorities
Excellent verbal and written communication skills
Proficient computer skills including Microsoft Office and SAP
The ability to work well with all levels of internal management and staff
Strong time management skills
Additional Skill Requirements
Must be self‑motivated and a self‑starter; quick learner for a multifaceted business and companion domestic and international staff
Must possess strong organizational, project management and problem‑solving skills with multi‑tasking abilities in a fast‑paced corporate environment
Arrive early and work late if necessary
Understand and follow posted work rules and procedures
