EcoSchool Multi‑Site Coordinator - Kalkaska Middle and Rapid City Elementary Schools
Summary
The Multi‑Site Coordinator leads afterschool sites that serve youth by providing nutrition, enrichment, and academic and emotional support. When needed, the Multi‑Site Coordinator leads site teams through supervision, oversight, problem‑solving, and monitoring work accomplished against goals and objectives.
Essential Job Duties
Responsible for the operations of a minimum of two sites and a maximum of three sites
Responsible for meeting all grant requirements as defined in the local evaluation plan
Establish and maintain excellent work relationships with site staff members, school staff, students, and student families
Become well‑versed in requirements, understand and be accountable for compliance and data collection required by DHHS/LARA
Be on site for each program at least half of the time offered if two sites, one third if three
Verify the collection and maintenance of completed Child Information Records (CIR)
Run program, provide leadership and oversee SEEDS teaching assistants, including responding to all emergencies and carrying out emergency response plans
Document child behavior and incidents in accordance with LARA regulations
Responsible for all site staff obtaining required professional development hours and maintaining proper documentation in the MiRegistry portal
Track and report documentation required by Michigan Department of Education (MDE) and SEEDS in a timely manner
Responsible for ensuring site level EZ reports entry is complete
Maintain accuracy and timely input of all required EZReports data including staff, volunteers, stakeholders, UIC codes, and teacher names
Responsible for the submission of EzReports attendance no later than the 10th of every month
Responsible for meeting all due dates as defined by MSU Extension
Assist with creation and collection of programming documents required for Grant Electronic Monitoring (GEMS)
Prepare and conduct high‑quality lessons that align with school day curriculum, grant objectives, and provide academic and social enrichment to students
Lead the Youth Program Quality Assessment (YPQA) process and contribute to the development and fulfillment of site Program Improvement Plan (PIP)
Other Duties
Communicate with, and solicit assistance from other SEEDS team members to complete responsibilities, as needed
Maintain a clean, tidy and safe learning environment for students on a daily basis
Attend EcoSchool regional and circle meetings as directed by supervisor
Comply with LARA continuing education requirements, including CPR certification
All other duties, as assigned
Requirements
Ability to connect well with children
Self‑motivated/Independent worker
Detail‑oriented
Organized
Ability to manage and keep track of many deadlines
Ability to navigate a variety of online databases (EZReports, MiRegistry, GSuite, Powerschools)
Ability to lead a team of teaching assistants
Strong and clear communication via phone, email and in‑person meetings
Familiarity with Google products (gmail, drive, calendar, etc) and Microsoft office products
Ability to read and comprehend DHHS/LARA program requirements
Strong general writing skills
Ability to stand for up to 3 hours at a time
Ability to lift up to 30 lbs
Ability to walk up and down stairs regularly
Ability to stoop, kneel, and pick up items from the floor to a standing position
Qualifications
Bachelor's degree in a child‑related field, preferred
Must be able to pass all required background checks
Must be First Aid/CPR certified or willing to be certified
Minimum of 1 year working with youth
At least 21 years of age, preferred
480 hours of direct work with school‑aged children, preferred
Have completed 15 clock hours, 1 semester hour, or 1.5 CEUs of documented school‑aged training, preferred
Previous supervisory experience, preferred
Position Information
Salaried/Non‑Exempt, 38 hours per week, typically Monday – Thursday 10:30 a.m. - 6:30 p.m., Friday hours are flexible, with occasional additional evening or weekend hours, as needed
Summer Program work hours: 38 hours per week, late June - early August, Monday – Thursday, approximately 8:30 a.m. – 4:30 p.m., Friday hours are flexible, with occasional evening or weekend hours, as needed
