Optimizing our enrollment mix is crucial to the long-term viability of Indiana University (IU) Indianapolis. There are several factors that influence a student's college choice, persistence, graduation and success. The Division of Enrollment Management is comprised of over 100 full‑time staff in the Office of Undergraduate Admissions, Office of Financial Aid and Scholarships, Office of the Registrar, Office for Veterans and Military personnel, as well as other units supporting student enrollment. The Division also oversees and provides insight for its enrollment operations at the Fort Wayne and Columbus campuses.

Department Specific Responsibilities

Identify, coordinate, and facilitate partnerships with schools, community‑based organizations, SPAN, and programs engaging out‑of‑school youth and under‑represented students to support the long‑term enrollment goals of Indiana University Indianapolis.

Oversee specialized early outreach efforts and support general campus‑visit efforts by providing group presentations on and off campus.

Work closely with internal and external partners to recruit students, guide them toward academic pathways available at IU Indianapolis, and grow affinity for the campus among students as they approach high school.

Coordinate group visits to campus with school administrators and community organizations serving freshmen and younger students.

Manage schedule of group visits, reserve rooms, confirm schedules, agendas, and expectations with chaperones before the day of the event.

Establish relationships and collaborate with campus stakeholders, including academic units, student populations, and support offices to schedule visits from groups.

Oversee the day of visit, including greeting the group upon arrival and ensuring their needs are met; check in with the group during the visit at appropriate touchpoints.

Provide a professional level presentation of relevant material to groups.

Design age‑appropriate educational programming for various age groups of prospective students (K‑12) to engage them and create an intrinsic connection with attending college.

Be intentional about scheduling groups and creating pipelines from schools and regions identified as key to the recruitment strategy.

Maintain documentation on group visits in the CRM, including dates, times, contact information, presentations, and logistics.

Represent IU Indy, through engaging programs and events, to prospective students and influencers with the highest degree of professionalism, providing an engaging experience.

Oversee the creation and maintenance of K‑12 programming materials and agendas such as confirmation packets, expectations for chaperones and students, grade‑level programming, specific presentations for elementary, middle, high school, interactive activities, and tour routes/flow of visits.

Take point for the registration process and forms for groups, and communicate about the group’s needs.

Coordinate with the Assistant Director of Campus Visits and Experiences to schedule campus ambassador staffing.

Provide support to the Director of Campus Visits on large event days.

Coordinate with the Director of CVE to hire, train, and schedule campus tour guides.

Work with the Assistant Director to develop retreats and professional development for student employees.

Ensure proper data management of contacts made through visit scheduling.

Collect and compile survey data from students and school administrators post‑visit to share with staff and appropriate enrollment stakeholders.

Accurately document, maintain, and track prospective student and applicant interactions and progression through the new student enrollment process in the CRM system.

General Responsibilities

Develop and implement programs and initiatives that touch on various student‑related goals, such as enhancing academic engagement and experiential learning; increasing student engagement, wellness, and involvement; fostering learning, inclusion, and development; supporting students in crisis and adversity; and improving the student campus experience.

Interface directly with students by attending student programming events, advising student organization leaders, meeting one‑on‑one to discuss areas of concern on campus, and gathering satisfaction feedback from student participants to implement into future student services initiatives and objectives.

Collaborate with staff in own department and other departments, as well as academic and campus leaders, on shared student services goals, often coordinating funding to sponsor student programs and initiatives.

Project outcomes for services offered at the program, department/division, or campus level; measure and evaluate effectiveness of student services against projected outcomes; prepare reports on impact to students and budgets; and present to stakeholders on effectiveness to secure funding for initiatives moving forward.

May serve on committees and perform student services research across the field of higher education and at peer institutions to identify and recommend best practices.

Plan and coordinate communications for student services initiatives to ensure student participation and engagement.

Education
Required:

Bachelor's degree in public affairs, counseling, social work, education, business, or a related field.

Preferred:

Master's degree in higher education student affairs or a related field.

Work Experience

Some experience in student services, higher education, or a related field.

2 years of full‑time professional experience in admissions, event planning, hospitality, youth services or transferrable skills from student services, teaching or sales with identifiable public‑speaking experience.

Previous work with volunteers, students, parents, and alumni in a university setting.

This role requires the ability to effectively communicate and operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
