Primary Duties and Responsibilities
The Venue Resource Coordinator manages day‑to‑day scheduling and operational support for Belmont University’s campus spaces. This role ensures accurate system updates, event coordination, and administrative support for internal units. The Coordinator is a key operational resource supporting the Venue Resource Manager in maximizing efficiency and event readiness.
Essential Functions
Coordinates incoming reservation requests, verifies availability, and updates scheduling systems. Ensures timely and accurate coordination of internal events and maintains organized workflows to support efficient space management.
Assists academic and administrative units with scheduling requests and event coordination under Manager guidance. Acts as a professional and knowledgeable resource, ensuring consistent and responsive communication with campus partners.
Prepares confirmations, maintains documentation, and updates event records. Ensures accuracy across scheduling platforms and administrative processes. Supports operational readiness of internal events.
Shares event information with internal partners. Ensures operational teams have complete, timely details to prepare for events and helps identify resource conflicts or scheduling challenges.
Maintains scheduling and resource management systems with accurate event information. Prepares reports and documentation for Manager and Director. Supports operational transparency and decision‑making.
Applies scheduling policies consistently across units. Offers feedback on recurring issues or workflow inefficiencies. Supports improvements that streamline operations and enhance client experience.
Engages with campus partners in a professional, solutions‑oriented manner. Demonstrates accuracy, courtesy, and mission‑aligned service. Strengthens Belmont’s reputation for operational excellence and reliability. Builds trust across departments through consistent and dependable support.
Required Qualifications
Must be able to work independently, be well organized, have the ability to multi‑task, adapt to a dynamic environment, work at a fast pace, and make sound decisions quickly.
Must be able to discern and protect the confidentiality and sensitivity of information and situations.
Must be able to organize a wide variety of activities and effectively meet strict deadlines.
Must have some knowledge of event planning and cross‑function collaboration.
Must possess excellent communication skills—written and verbal—and strong interpersonal skills.
Must have research skills and the ability to concisely summarize relevant information.
Must have strong computer skills with a working knowledge of Microsoft Office products and the ability to learn other programs including EMS Scheduler, ActivCollab, QuickBooks.
Ability to work a variable schedule and hours beyond 37.5 per week on occasion.
Required Education
At least 2 years of college coursework required. Bachelor’s degree preferred.
Required Experience
2–4 years of previous work in a professional office environment, with discretionary decision‑making. Experience in project management strongly desired.
